The Patient Services Supervisor works closely with a management team consisting of the Front Desk Supervisor, the Business Office Supervisor, the Clinical Supervisor, and the Practice Administrator. She/he oversees the appointment scheduling process, ensures the satisfaction of patients contacting our office by phone, assists with the development and documentation of all telephone and check-out desk policies and procedures, and provides support to the call center on a daily basis, and to the check-out desk as needed. MINIMUM EDUCATION, EXPERIENCE AND SKILLS REQUIRED: * High School or College Graduate. Demonstrates effective leadership skills, excellent written and verbal communication skills. Able to multi-task and capable of remaining calm in stressful situations. Able to use the Practice Management and Electronic Health Record systems. Demonstrates keyboard proficiency. Knowledge of medical terminology and the medical billing process.* GENERAL SUMMARY: * In addition to the essential functions for each position it is expected all staff shall:*Maintain neat, legible and organized recordsMaintain a neat, clean and organized work areaAttend staff meetings as requiredBe responsible for knowledge of and adherence to changes in policies, procedures and protocolsEffectively prioritize assigned workloads and complete work assignments within acceptable time limits; seek appropriate assistance from designated supervisors when deemed necessaryEstablish and maintain cooperative relationships with patients, clients, physicians, and vendorsInteract with fellow employees in a way that promotes a harmonious and cooperative working environment ensuring the staff remains on task with minimal extraneous conversationArrive at work on time, begin work promptly and be available until the end of his/her assigned shift; manage break and lunch times appropriately; work overtime only as approved; schedule all paid time off with supervisorsReturn from all breaks within expected time framesComply with all policies and procedures in support of quality improvement initiatives, compliance activities, privacy regulations and pertinent federal, state and local regulationsAdhere to the Practice's personal appearance policy and maintain a professional decorumCross train with other employees supporting the team environment and maintaining coverage of vital functions in other employee absences or when they are on breaks 1. Provides supervision to staff at the check-out desk and in the call center 2. Participates in the hiring process by reviewing resumes, interviewing applicants, and contacting employment references 3. Trains and coaches staff to ensure adherence to all established practice policies and in compliance with local, state and federal regulations 4. Develops and implements patient services policies and procedures 5. Organizes and conducts meetings of patient services staff and represents department in business office and clinic meetings 6. Evaluates staff performance by conducting new hire orientations, annual appraisals, and counseling, as needed 7. Reviews timesheets, on a timely basis, to ensure accuracy and completeness and as part of monitoring staff attendance 8. Approves leave requests, maintains staff coverage calendar, and ensures all positions are covered daily during breaks, etc ; provides Business Office Supervisor with adequate notice when coverage from that department will be needed 9. Oversees phone system functioning, performs audits, and troubleshoots, as needed 10. Maintains accurate and complete patient census 11. Handles patient complaints pertaining to this department 12 . Oversees reconciliation of over-the-counter collections 13. Prepares deposits of over-the-counter payments accurately and in a timely manner 14. Monitors post-operative appointment scheduling 15. Works in conjunction with Surgical Schedulers to coordinate calendars with the computerized schedule for the physicians 16. Templates physician schedules in Practice Management system, processing change request forms as needed 17. Ensures voicemail boxes are regularly checked throughout the day and messages are responded to in a timely manner 18. Follows up with patients who have been seen at Suburban Hospital to ensure that an office appointment can be scheduled 19. Assists with planning of new space, as required 20. Ensures work stations and patient check-out areas are organized, neat in appearance and well maintained at all times 21. Monitors, maintains and submits all clerical supply orders to the Administrative Coordinator 22.
