Visit our University blog at Overview: The Financial Aid Systems Specialists- Training, Audit and Financial Reporting and Support is a project manager of sorts, and is heavily engrained in supporting the campus Financial Aid Office with primary responsibility for training and onboarding of staff, identification of training opportunities to reduce processing errors and delays and standardization of policies and procedures and provision of requisite support to ensure university reporting requirements are met timely. Functions: Essential Job Functions: * Ensure R2T4 processing is compliant to T-4 regulatory requirements by completing the calculation, administration and data entry for R2T4 processing for all University campuses. * Primary University official responsible for update of student academic records via the SSCR process ensuring timely and accurate reporting to ensure University compliance to regulatory reporting requirements. * Create monthly reports to communicate staff FA file submission accuracy and ranking, monitor reject reasons and research and present regulatory authority to validate rejects, and coordinate training programs and policy and procedure updates to ensure system wide communications to reduce similar errors. * Coordinating the training of student account staff by creating and delivering training programs reflective of institutional procedures and federal regulations to ensure uniform communicating of operational and financial aid processes inclusive of existing procedures, updates and changes to processing requirements. * Research and provide guidance for regulatory issues to campus and corporate staff and monitor changes to regulations pertaining to default management issues as related to Title IV participation * Administrator for University default management program by monitoring default rates, developing cure programs and campaigns, and creating procedures for implementation and monitoring same. * Prepare Default Rate analysis for CFO/CEO that shows defaults by program and status (withdrawn vs. graduated) * Review request for institutional and other tuition adjustments meeting prescribed service delivery expectations, and coordinating approvals as appropriate. * Ensuring the timely processing of return of funds to VA by coordinating the monitoring, review approval and student account processing of refunds of VA debts owed by Stratford University. * Manage and perform regulatory compliance audits of branch campuses and report results to upper management. * Serve as auxiliary file review auditor. Perform essential function as internal FA process auditor by assisting in the development of audit plan, completing quarterly campus audits of FA files for compliance to DOE and University processing requirements, preparing reports on findings with appropriate supporting documentation and presenting same in good form. * Responsible for updating institutional forms and coordinating approval of same for systemwide use. Additionally responsible for ensuring the policies and procedures relative to financial aid processing remains current and updated and changes are appropriately communicated to field. * Coordinate appropriate responses to data related to default rates and gainful employment. * Documenting process changes to resolve inefficiencies and propose process improvements to ensure adoption of standardized processes. Primary official responsible for collating resolution from constituent sources to student account and financial aid issues and presenting said resolution in documented form. * Prepare Title IV reports for various outside entities (Washington Business Journal, Peterson's Scholarship Website, etc.) * Calculate and disseminate Cost of Attendance figures for each award year * Coordinator of Veritax: Tax return request service to grant access to new staff and coordinate training and monitor usage and trouble shooting of technical issues. * Act as the liaison between the University and external auditors in preparation for annual attestation examination report of the University's administration of Title IV aid. * Provide support to campus by travelling to campus where needed to serve as relief and support in the execution of SAO/ SAM duties where appropriate while maintaining conformity to essential audit and internal evaluator role. * Serve as auxiliary financial aid auditor responsible for auditing financial aid files and participating in internal audit process to determine campus ongoing compliance to established institutional processing standards. * Collate data and prepare reports required for submission to external agencies and internal management to fulfill periodic reporting requirements. Qualifications: Required Education and Experience: * Must possess a bachelor's degree and 3-5 years of recent experiences in financial aid processing. * Experience with Return to Title IV calculations * Must possess extensive knowledge of financial aid regulations including verification process and hands on knowledge of crossover funding issues. * Working knowledge of all Federal Title IV systems and reports. * Demonstrate proficiency in timely and accurate awarding. * Demonstrated knowledge of recent financial aid processing requirements The above statements are intended to describe the general nature and level of work being performed.
