Admissions Coordinator, Biomedical Graduate Education - Georgetown University Medical Center

Georgetown University Biomedical Graduate Education (BGE) offers a variety of biomedical master's degree programs, basic and clinical sciences doctoral degree programs, and two biomedical dual degree programs.

The Admissions Coordinator administers the day-to-day office processes for BGE and plays a key role in the biomedical admissions application review and matriculation processes for 2000+ applications and three Biomedical Graduate Education (BGE) admissions cycles per year.  Reporting to the Assistant/Associate Director of Admissions, and supervising student and temporary workers, the Admissions Coordinator has duties that include but are not limited to:

Applications Management 

  • Facilitates the admission process of more than 2,000 biomedical admission applications in 3 admission cycles for 29 academic programs.
  • Receives and processes any incoming mail and admissions documents for the BGE Admissions Office.
  • Oversees digitization of paper credentials including scanning and indexing in an electronic filing system.
  • Reviews application credentials for completeness and GPA/TOEFL requirements, and verifies transcripts.
  • Evaluates and translates international transcripts for calculated cumulative GPAs and US equivalencies.
  • Analyzes applicant's academic credentials for adherence to the minimum admissions standards as set by the Graduate School of Arts and Sciences.
  • Generates and publishes electronic admission letters, including deferral, waitlist, and special student letters.
  • Coordinates deferral requests with faculty and program administrators and generates deferral decision letters.
  • Communicates with and advise BGE faculty and staff on application-related questions and issues.
  • Responds to prospective student and applicant inquiries via phone, email, and walk-in appointments.

Admissions Management 

  • Coordinates and monitors 29 biomedical programs to ensure awareness of, and adherence to, the admissions policies and procedures of Georgetown University and the GSAS.
  • Performs data entry of academic and biographical data into Banner.
  • Performs data entry of admission application decisions into Banner.
  • Maintains all data in Banner and ApplyYourself for correctness and completeness.
  • Coordinates merit-based aid budget with faculty and program administrators and generates merit-based award letters for admitted Ph.D. and master's students.
  • Generates admission reports to monitor applicants' admission status.
  • Maintains paper credentials storage system, including yearly purging of documentation.
  • Generates applicant reports for the Assistant Director for Admissions.


  • Assists with recruitment initiatives for approximately 29 BGE programs, including inquiry response and tracking prospective students.
  • Participates in recruiting events (sometime requiring travel), including Graduate Fairs, Annual Conventions, and Virtual Fairs) for all BGE programs.
  • Performs data entry of prospective student information and develops communication plan for prospective student in the Radius Prospect System.
  • Maintains BGE admissions website area ensuring accuracy of all content.
  • Assists with maintenance of Twitter and Facebook feeds for recruitment/marketing purposes.

Training and Supervision of Student Staff 

  • Trains student staff on all database, scanning, and credential processing procedures.
  • Monitors quality and quantity of work performed by student staff.
  • Assumes admissions duties of student and temporary staff during absences/leave.

Admissions Communications

  • Answers prospect and applicants questions via e-mail, phone, and walk-ins.
  • Maintains knowledge of admissions requirements for approximately 29 programs.
  • Recruits and counsels prospective students for the following purposes: to bring awareness and information regarding GU programs to prospective students, to explain the quality of education offered at Georgetown, and to work toward bringing highly qualified students to Georgetown for the enhancement of research, discourse, and teaching.


  • Bachelor's degree - preferably in Business, Management, Communications, or related fields
  • At least 1 year of professional/administrative work experience
  • Experience with  Microsoft Excel, Word, PowerPoint
  • Excellent organizational, interpersonal, and problem-solving skills
  • Ability to perform multiple functions simultaneously
  • Attention to detail
  • Ability to maintain confidentiality of data and information

Preferred qualifications

  • Experience working in higher education - specifically in admissions
  • Experience with higher education information systems and databases - that is, ApplyYourself, Banner, and/or Cognos
