DOCKETING SPECIALIST Prominent, international firm is seeking a Docketing Specialist. This is a non-exempt position primarily responsible for handling the daily docketing (and de-docketing) for all U.S. and foreign patent (including designs), trademark and PTO Litigation matters. DUTIES AND RESPONSIBILITIES: Responsible for the quality processing of all incoming mail (including emails) and facsimiles on a daily basis and in a timely manner. Removing (de-docketing) of U.S. and foreign due dates in the firm's docketing systems, as necessary, based upon confirmed USPTO filings and/or confirmation of instructions and filings from foreign associates. Responsible for the review and monitoring of case prosecution history in the Firm's docketing system on a daily basis, including the monitoring of data entry, analysis and calculation of due dates for all incoming firm correspondence in accordance with departmental service level agreements. Maintain the accuracy and integrity of all data entry including the data entry of new U.S. and foreign patent, trademark, interference and litigation case data. Maintain a high level of quality by reviewing all data entry on a daily basis. Routinely proof all data entry. Maintain a high level of proficiency in the use of the docketing system and other firm software applications as necessary including interacting with IT Department personnel and systems vendors as needed, assist in the coordination of upgrades to the system and troubleshooting problems as necessary. Assist with the processing and review of New File Information Forms; assigning new client and matter numbers; entering complete relevant data from the New File information form into IP Master and Javelan in accordance with departmental service level agreements. Assist in the fulfilling of departmental e-mail requests for data updates including inactivation of records, requests for change matter, timekeeper assignments, foreign associates, current owners, etc. Maintain advanced knowledge of U.S. and foreign patent and trademark laws and regulations pertaining to filing requirements, prosecution requirements, annuity and tax laws, renewal data, expiration data, etc. Ability to independently research and analyze basic U.S. and foreign intellectual property laws, procedures in correlation with internal procedures and firm docketing systems; respond to basic docketing inquiries. Maintain a high quality work product and ability to schedule work to meet department deadlines and be able to perform job responsibilities under pressure efficiently, productively and in a professional manner. Maintain strict confidentiality of all documentation processed in the Docketing Department. Assist as a backup in other areas of the Docketing Department as necessary. Interact with staff and legal personnel on a daily basis. Must be flexible to work overtime on an as needed basis. Miscellaneous other duties as assigned by the Manager of Practice Support Systems.
