Office Administrator / HR Administrator
A prominent CPA Firm headquartered in Pikesville, MD is seeking a full time Firm Administrator to join its team. The Firm Administrator encompasses a wide range of activities with involvement of all phases of administration, personnel, finances and facilities. The position requires same day travel to attend meetings and seminars. Job Responsibilities: . Monitors client due dates to ensure all work is completed in a timely manner. Works with requisite department heads and administrative staff to communicate deadlines and workload conflicts, as needed, to ensure timely completion of work. Standardizes office procedures, systems, and forms. Recommends system revisions and implements new forms and procedures, as necessary. Researches and recommends purchase, lease, or rental of necessary office equipment. Negotiates contracts with vendors. Schedules and assists at officer and manager meetings and retreats. Prepares and distributes agendas and minutes. Schedules and arranges all firm social events, including oversight of the Firm Activities Committee. Recruits, interviews and hires candidates for all firm personnel. Counsels, evaluates, and terminates administrative staff. Assigns responsibilities and supervises the administrative staff; reviews performance of administrative staff. Administers all employee benefit programs. Directs new employee orientation program and existing employee mentor program. Maintains personnel files with current information. Develops and maintains control over purchasing equipment and supplies. Establishes and coordinates the annual employee performance appraisal process as well as interim employee reviews. Supervises office maintenance to achieve a neat, clean, professional appearance. Serves as liaison with building maintenance contractors; responsible for physical operation of the facility. Oversees CPE planning and budgeting. Oversees maintenance of professional license records and CPE records for accounting staff and remittance of necessary reports. Relieves officers of administrative responsibilities, as requested. Performs such other duties as may be assigned. Education and Qualifications: At least five (5) years experience in supervising and managing personnel Working knowledge of automated accounting systems. Well developed interpersonal skills. Ability to get along well with diverse personalities; tactful, mature, empathetic, and flexible. Ability to communicate clearly and concisely, both oral and written skills included. Bachelor's Degree required.
