The George Mason University Office of Graduate Studies, within the Volgenau School of Engineering, invites applicants only for an Administrative Assistant vacancy. Responsibilities: Reporting to the Coordinator for Graduate Academic Affairs, this position must work collaboratively with university constituents. Significant interaction will occur with students at the graduate and doctoral levels. This position will act as reception for the Graduate Student Affairs Office, as well as the Office of Graduate Admissions and Recruitment. Major duties include: managing the Senior Associate Deanâ€™s calendar and external relations engagements including scheduling appointments, planning and assisting with special events, handling travel arrangements for all of the Senior Associate Deanâ€™s direct reports, maintaining databases/files, and assisting with the coordination of the Commonwealth Graduate Engineering Program (CGEP). Other duties include but are not limited to: answering telephones and responding to e-mail; investigating student inquiries and directing students to appropriate university services; ordering supplies; serving as telecom coordinator; preparing routine written correspondence, forms and reports; and maintaining office files and machines. This position also supports management of the Ph.D. in Information Technology program which includes coordination of the qualifying examination process (administered twice per year).
Special projects are assigned, as needed.
Required Qualifications: The successful candidate must possess outstanding customer service and problem-solving skills; strong written and oral communication skills; be detail-oriented; and have demonstrated computer skills using MS Office suite software, Internet and e-mail. The ability to multitask with minimum supervision, to prioritize work, and to maintain student confidentiality are imperative.
Preferred Qualifications: A bachelorâ€™s degree and experience working in a multifaceted higher education office are preferred.
