Assistant Director of Housing Occupancy and Billing

The George Mason University Office of Housing and Residence Life (OHRL) invites applications for an Assistant Director of Housing Occupancy and Billing position. Responsibilities: The Assistant Director of Housing Occupancy and Billing (AD-HOB) supervises four (4) full-time professional housing services coordinators (HSCs) and over 60 student employees, in the planning, execution, and continual update of the Housing and Residence Life (RHL) assignment and billing processes and the neighborhood desk support operations for approximately 6,600 residential students. Main goals of this position include achieving maximum occupancy and a high level of customer satisfaction. The AD-HOB collaborates with the Associate Director of Housing Services to manage the daily operational activities of the housing assignments and services process, including supervision of assigned staff, room changes, billing inquiries, policy updates, move in and move out coordination, and room turnover processes. The AD-HOB also works on strategic planning initiatives, such as housing inventory utilization and assignments timelines, and on the effective/efficient organization and utilization of housing assignment software to support the complete student housing process. The AD-HOB interacts with internal and external partners to communicate and coordinate room assignment activities and to resolve student issues. In addition, this position is expected to work evenings and weekends to accommodate various critical time periods, such as room selection, admissions open houses and move-in.

Staff Supervision and Development: * Supervision: Provide motivation and direction to all HSC staff. Assess current practices and make recommendations for increased efficiency and productivity. Conduct meetings to develop and review goals/outcomes achieved, provide and solicit feedback, resolution of any outstanding issues and recognize contributions; * Instruction and Training: Act as the point person in the development and instruction of staff training each semester and throughout the year in regards to assignments and student housing services. Develop and implement additional training opportunities for HRL staff on issues relating to housing assignments, including effective utilization of housing assignment software and retrieval of prevalent student account information from the Banner financial system; and * Assists with the supervision and management of all neighborhood/24-hour desk staff.

Occupancy Management and Billing: * Develop, manage and continuously update the end-to-end housing assignments operation, including the student housing application, the room selection and allocation/assignment process, room rental/fee assessment process, payment and reconciliation process, and any student withdrawals/fee adjustments; * Continuously interpret, review and update all housing assignment policies, agreements, contracts, processes, online website applications and screens, room rate charts, and residential floor plans; * Act as the main point of contact for students, parents, faculty and staff concerning housing options, rates, and processes as they apply to the housing selection and assignment process; * Oversee the housing application process, communicating with prospective residents on the wait-list as well as with those students with assigned rentals, to drive optimal occupancy utilization; * Monitor and correspond with current residents regarding housing eligibility enrollment status, years in residency, minimum credit requirements, payment status, etc.; * Work closely with Mason Student Accounts representatives and HSC’s to ensure accurate billing on students’ accounts, as well as to reconcile/balance census student counts; * Monitor and ensure accuracy of miscellaneous fee charges and assessments; * Coordinate all student account maintenance functions related to housing; * Collaborate with other departments (especially INTO, ODS, and other special populations) to coordinate housing selection/lottery and assignment processes for all students; * Coordinate and oversee all room change processes, housing waitlist(s) and resolve housing assignment issues; * Monitor, compile and analyze housing assignment and occupancy data to provide timely dashboard and supporting detailed reports to inform departmental decision-making; * Review and maintain housing charge codes and tables; * Oversee collection of all housing deposits, including monthly reconciliation of housing deposits within Banner and Student Accounts; * Work with Housing Services and IT staff to improve information flow between the housing assignment management system and Banner. Coordinate any systems upgrades or improvements; and * Document procedures and update the Housing website regarding current or changed policies and procedures.

Special Populations and Reporting: * In collaboration with the Associate Director for Living and Learning Communities and departmental leadership, oversee assignments and placement of Living and Learning Communities in conjunction with the HSC for Special Populations; * Serve as the liaison with the Office of Disability Services (ODS) to ensure that the accommodation needs of residents are being met; * Communicate as appropriate all housing matters to various departments and constituencies; * Prepare and disseminate reports and rosters to all appropriate university personnel; * Develop reports to reflect assessment needs and goals of the department and university; and * Manage all necessary reporting pertaining to financial and occupancy auditing.

Departmental Duties: * In collaboration with the Director of Residence Life and the Associate Director of Housing Services, oversee and coordinate opening and closing procedures at the beginning and end of semester breaks and vacation periods; * Oversee summer and extended-period housing for students; * Participate on University committees/projects as assigned; * Assist with the Housing Agreement Appeal Committee; * Attend residence hall events, town meetings, and various department/committee meetings; * Actively support and comply with all university policies, Housing regulations and departmental vision and goals; * Is considered a designated employee for Housing with regards to severe weather, campus emergencies, and other significant Housing events, including Opening and Closing; * Perform other duties as assigned by the Chief Housing Officer, Director of Housing Services and Finance and the Associate Director of Housing Services; * Assist in fulfilling duties of vacant positions within the department; and * Serve in the role of Associate Director of Housing Services in their absence.

Required Qualifications: Education or Training: * Bachelor’s degree in student affairs, higher education, business, education, or a related field; or an equivalent combination of education and work experience (work requires analytical and organizational skills generally acquired through completion of a bachelor’s degree program).

Level and Type of Experience: * Significant full time experience in housing administration, student activities, or a related field in order to acquire skills necessary to coordinate a successful assignments process; * Previous experience in housing assignments within a university housing system is necessary; and * Must have advanced skills in Microsoft Excel.

Preferred Qualifications: * Master’s degree in housing administration or a related field; * Demonstrated experience as a supervisor of full-time professionals; * Knowledge and experience with StarRez, RMS Mercury, or other major housing assignment management systems; and * Knowledge and experience with Ellucian Banner financial systems and MicroStrategy retrieval systems.
