Position Overview
The Meetings & Events group is a part of the Corporate Services department within the Corporate Administration Oversight division. The Corporate Meeting & Events team supports the corporation by providing the following services on our McLean campus of 4 buildings.
The Media Services, Associate, will provide Audio-Visual support to on-campus meetings and events. This position involves daily interactions with internal and external customers and supporting departments. The Media Services, Associate should be a seasoned professional with excellent customer service skills. This position is not a people manager.
Responsibilities include:
* Responsible for day-to-day meeting AV support as assigned. Organize, prioritize and schedule work assignments to maximize effectiveness on the floor
* Ability to review event reservations and report any concerns, issues or missing information
* Provide excellent customer service, listening to customers to understand and respond positively to their requests in a courteous and professional manner
* Set and maintain a proactive level of support for all meetings and events by anticipating customer needs, whether listed on the reservation or not
* Setup, testing, operation, and tear down of AV equipment (e.g. computers, audio system, microphones, mixers, display/LCD projectors and operation of integrated AV systems). Support customers with video conferences, audio conferences, web conferences, touchscreens and other AV equipment operation
* Perform regular preventative maintenance checks on all integrated system and portable pool equipment
* Assist in the upkeep and accuracy of the AV inventory
* Maintain storage rooms in orderly fashion, ensuring materials are easily available for other team members
* Escalate technical and meeting associated issues that are not AV related to the appropriate team(s), submitting tickets when appropriate
* Accurately track last minute requests for monthly statistics
* Adapt to and act on changing situations and exercise sound judgment when confronted with inoperable equipment, changing event requirements and other floor situations
* Independently troubleshoot all AV issues found and/or reported before escalating
* Work effectively both independently and within a team, contributing to both daily operations and training activities. Meet deadlines while maintaining attention to detail
* As directed and assigned, perform other miscellaneous support and/or administrative duties
* Videoconferencing and Audio-conferencing using various Polycom and Cisco devices

Basic Requirements
* 5+ years of Audio-Visual experience in conference center, hotel or similar environment
* Proficiency with conference center and/or AV reservation systems and work order management systems
* Proficiency with trouble-shooting complex audio, video, network and control systems problems
* Proficiency with Crestron, Biamp and Extron programming
* Familiarity with multicast LAN traffic
* Proficiency with WebEx and Adobe Connect
* Strong Microsoft Office Suite skills, including Word, Excel, PowerPoint and Outlook
* Flexibility to cover a variety of shifts, including early morning and/or evening hours, depending on work volume and staffing
* Good written and oral communications skills
* Proven ability to partner with and assist customers, co-workers and managers to promote an environment of teamwork and achievement of common goals
* Flexibility and courage to make quick decisions on the fly within accepted level of authority
* Must be able to move, lift, carry, push, pull and place objects weighing up to 50 pounds, without assistance

Preferred Skills
* Familiarity with multicast LAN traffic
