**ADMINISTRATIVE ASSISTANT** **Office:** Washington DC **SUMMARY:** This position is responsible for providing support to the Washington, DC office administrator; primary responsibilities include day-to-day processing of matters related to the office trust and operating accounts; accounting administrative support including processing invoices, maintaining petty cash and check ledgers; and other administrative assistance as needed including, but not limited to, minutes for various administrative DC meetings; providing information and assistance to the local Office Services Team; assistance with office-wide social events. **RESPONSIBILITIES** **Accounting** * Keep thorough record of all trust account deposits and disbursements; deposit retainer checks; cut checks from trust account as requested by Accounting Department. * Maintain thorough record of operating account expenditures; cut checks from operating account; make deposits into operating account. * Process all WDC office invoices (code invoices with G/L or client number); submit to Office Administrator for approval; send to Accounting Department for processing / payment. * Maintain petty cash box; dispense petty cash; keep track of outstanding money and receipts; reconcile receipts with cash; prepare petty cash check. * Process check requests; submit to Office Administrator for approval; send / scan to Accounting Department; cut checks if urgent; keep copies of checks. * Maintain WDC office credit card expenditures; reconcile charges; prepare appropriate expense report. **Administrative** * Attend various office meetings and record minutes. Finalize, circulate and maintain minutes in various binders. * Initiate and maintain contact with office vendors (as appropriate conduct cost comparisons). * Assist with answering questions/providing guidance to the Office Services Team. * Monitor, maintain records and notify attorneys and staff of personal charges (for example FedEx, UPS, etc.); track requests for payment and send payments to Accounting Department for processing. * Assist with planning and executing various DC social events. **CANDIDATE PROFILE** Work Experience & Abilities Required * 1+ years of experience as an administrative assistant is preferred; accounting or bookkeeping experience is preferred; experience in a professional services organization is a plus. * Demonstrated working knowledge of Microsoft Word and Microsoft Excel is required; knowledge of all MS Office products strongly preferred. * Ability to organize assignments; work under pressure and meet deadlines. * Ability to communicate effectively and professionally with lawyers, managers and staff. * High attention to detail and excellent organization skills. * Ability to communicate clearly and work independently with minimal supervision.
