Montgomery College, Rockville Campus, has need for a full-time, Course Scheduling Assistant, #S03156, in the Admissions Services Department. The normal work schedule is Monday - Friday, 8:30 a.m. - 5:00 p.m.

Job Summary:
This person will ensure the timely and accurate development and publish and maintain credit class schedules for all disciplines in each of the semester terms during the academic year.  The Course Scheduling Assistant will analyze, evaluate and process schedule information from academic department chairs and deans, collaborate with other scheduling assistants and scheduling supervisor and analyze the validity and logic of schedule changes and additions, prioritizes multiple requests, resolves schedule conflicts and incomplete communications.  

 

Duties and responsibilities include but are not limited to:

 

  • Work with academic departments on implementation of new programs, cohort offerings and course offerings to ensure the proper building and coding of the course(s) in the student information system (Banner).

  • Create and update classes and code each class with the appropriate features in the student information system.

  • Analyze validity and logic of schedule changes and additions.

  • Prioritize multiple requests.

  • Resolve schedule conflicts and incomplete communications.

  • Make independent decisions when appropriate to do so. 

  • Maintain classes and code each class with the appropriate features in the student information system.

  • Understand appropriate procedures to follow regarding changes to the schedule and how those changes must be processed differently depending on the time line of the semester including advising and registration, cancellation, semester start-up phases, mid-semester changes, final exams and exam exceptions.

  • Troubleshoot potential problems with respect to scheduling by using a variety of reports, such as error reports, room conflict reports, cross-listing reports and room utilization reports to check for errors and make corrections when necessary by using a variety of Banner, Crystal and Qlikview reports.

  • Respond in a timely fashion to requests in-person, via email and phone.

  • Coordinate the relocation of classes with disability support services and academic department when necessary due to a student need.

  • Coordinate room changes due to ADA needs of faculty/staff.

  • Publish five full credit class schedules per academic year to make available for registration.

  • Provide direction on guidelines and procedures for dealing with emergency situations including power outages, weather related issues, facility issues and unexpected or last minute requests.

  • Collaborate with facilities and security during emergency situations as they arise.

  • Process changes quickly and accurately notify students and college community.

  • Work with other departments to enhance scheduling procedures or be prepared for potential upcoming projects.

  • Interpret federal and state regulations regarding the release of information from student academic records in accordance with College policy, state regulations, and FERPA, including the release of official transcripts and written verifications of enrollment.

  • Train new and existing academic department personnel, coordinators, Chairs and Deans on the schedule development process, the student information system (Banner) and event and course management software.

  • Make changes in classes in order to ensure the changes to students registration records are made accurately.

  • Schedule 200 credit class related events such as review sessions, presentations, orientations and use of computer equipped classrooms and cross checking in banner simultaneously.


Required Qualifications:

  • High School diploma or G.E.D.

  • Two (2) years of general office experience that includes at least one year of admissions, records, and registration experience.

  • Strong computer skills, including Microsoft Office Suite software, Student Information System, Crystal Reports, and Image Now are also required.

  • Knowledge of College policies and procedures as they relate to Admissions requirements.

  • Knowledge of English language, both written and spoken.

  • Skill in the provision of effective customer service.

  • Ability to establish and maintain effective working relationships with a wide range of people.

  • Ability to communicate effectively, both orally and in writing.

  • Eligible applicants must currently be authorized to work in the United States and not require employer visa sponsorship.

    Preferred Qualifications:

  • Experience with Banner.

  • Experience with course management software.

  • Associates degree.

  • 1 year course scheduling experience.
