HCM Specialist and Business Coordinator - University Services Shared Service Center

The HCM Specialist and Business Coordinator serves as the primary facilitator of payroll and HCM transactions in University Services Shared Service Center. Such transactions include the creation and editing of positions within GMS, the initiation of job requisitions, costing allocation changes and compensation adjustments for Service Center staff and students.  S/he reviews supporting documentation provided with each request for accuracy and completeness, and communicates directly with departmental administrators to resolve any deficiencies in this regard; and ensures that the relevant personnel approve transactions at each stage in a timely manner. Duties include but are not limited to:

Payroll and Personnel Requests

  • Serves as the campus resource regarding HR and Payroll policies and processes.
  • Reviews supporting documentation for accuracy and completeness to ensure transaction is in accordance with University Services and University policies.
  • Resolves concerns and/or problems in a timely manner.
  • Keys transactions correctly into GMS from supporting documentation.
  • Works with Senior Finance Officer and Senior Business Officer to ensure position requests align with position rosters and budget.
  • Meets all payroll deadlines.

GMS - HCM Resource

  • Maintains up-to-date and thorough understanding of GMS functionality current as new releases are implemented.
  • Participates in UAT for any new HCM functionality.
  • Investigates user and system issues, working with GMS core team and colleagues to understand and to adapt to new functionality.
  • Serves as a resource to other University Services HRCs.
  • Responds to requests for data and reports as needed.
  • Runs routine audit reports.

Operational Support

  • Assists the Shared Service Team with business operations during high-volume periods.
  • Works on projects as assigned by the Senior Business Officer.


  • Bachelor's degree
  • 3 to 5 years of progressive work experience preferred, with a focus on payroll and human-resource related administration - preference for experience in a not-for-profit higher education setting
  • Demonstrable skill in the use of MS Word and Excel
  • Preference for some exposure to Workday (GMS) for Human Capital Management
  • Excellent verbal and written communication skills
  • Ability to operate under pressure, and to perform duties  with tact, diplomacy, confidence, and professionalism
  • Strong organizational and time-management skills
