Sunrise is seeking a Executive Assistant to work in our Corporate Headquarters based out of McLean, VA.

RESPONSIBILITIES & QUALIFICATIONS

Responsibilities:
  • Screen incoming calls in a professional, courteous manner, respond independently as appropriate, and take accurate messages.
  • Plans, coordinates, and ensures the executives schedules are followed and respected. Provides "gatekeeper" and "gateway" role, creating win-win situations for direct access to executives time and office
    • Prepare correspondence, minutes of meetings, and e-mail with attention to detail, grammar, spelling and punctuation.
    • Organize and maintain Executives’ calendars, including scheduling appointments to ensure adequate time is allowed for each event.
    • Coordinate meeting arrangements, including attendee confirmations, refreshments and materials.
    • Arrange complex and detailed travel plans and itineraries, and compile documents for travel-related meetings.
    • P repare weekly executive status reports.
    • Research, identify and escalate issues to CIO for resolution.
    • Create and edit presentations with minimal guidance based on inputs from the CIO.
    • Coordinate office visits including travel arrangements, meeting rooms and food service for a large and complex organization.
    • Provide assistance to all assistants as needed, including facilitate meetings and group outings to further our teamwork culture.
    • Maintaining the utmost confidentiality, interact regularly with our Human Resources organization to record and log time off and update organization charts, reconciling these to approved headcount.
    Additional Responsibilities
    • Handle job related, personnel, and personal matters for the Chief Information Officer.
    • Assist with Executive requirements for conferences annually.
    • Prepare, submit, track, and audit expense reports as needed.
    • Ensure readiness and prepare SOC1 documents for review and sign-off.
    • Manage purchase requisitions / orders, invoicing, enquiries, review of CIO and direct report expense
    • Prepare backup reports for Corporate P-Card.
    • Maintain corporate filing system.
    • Open, sort and distribute mail, and actively assist in managing and responding to e-mail for the CIO.
    • Manage floral/gift purchases for various events for staff and departments.
    • Perform special projects as assigned by the Executive officers.
    • Provide general assistance as needed.
  • Sets a positive example by maintaining a professional attitude, cooperating with co-workers, management, internal and external customers; maintains acceptable attendance and punctuality, and is a productive team member and helps to meet established departmental and Company goals
  • Qualifications:
    • Minimum of 8 years of experience working with Executive level management.
    • College degree preferred.
    • Interactions in a complex software or technology organization preferred.
    • Must be able to maintain the highest level of confidentiality.
    • Excellent verbal and written communication skills required.
    • Exceptional organizational skills required.
    • Strong analytical and problem solving skills required.
    • Strong attention to detail and ability to multi-task required.
    • Must be a team player, but prioritize jobs independently.
