Office Manager, Criminal Justice Clinic - Georgetown University Law Center

Georgetown Law's Criminal Justice Clinic is a full-year program open to Georgetown University Law Center students who have successfully completed 41 credits, including Evidence, Civil Procedure, and Criminal Justice. The Clinic offers approximately thirty-two students an opportunity for intensive study and actual experience in criminal practice.

The Office Manager handles the administration of the Criminal Justice Clinic in duties that include but are not limited to:

Office Administration

  • Monitors and orders supplies.
  • Prepares course materials, filing, photocopying, and correspondence. 
  • Secures rooms and equipment for class as necessary. 
  • Maintains paper files and locates closed files.

Budget and Financial Administration

  • Monitors budget to ensure compliance; timely processes reimbursement requests, and bills payments.
  • Processes court voucher requests for payment and monitor progress; and reconciles and ensures compliance with ProCard regulations.
  • Allocates expenses to the proper budget, and coordinates with other clinics for joint budget expenses.
  • Manages Zipcar account and processes court vouchers.

Computer and Case Management

  • Maintains familiarity with all programs necessary for clinic operation and offers assistance to others in clinic when needed.
  • Monitors computers and printers in clinic, ensures they are in good order and adequately supplied, and calls for repair when necessary.
  • Ensures students and fellows update the case management program and for production and distribution of reports weekly.

Telephone, Mail and Correspondence

  • Answers telephone and correspondence
  • Welcomes callers and visitors and strives to solve problems by referring callers to clinic personnel or resources outside the clinic for referral. 
  • Answers prisoner mail with appropriate referrals. 
  • Collects and distributes mail and coordinates clinic mailings.

Student/Fellow Interaction

  • Participates in the recruitment, selection, and orientation of students and fellows by processing application, responding to questions, and scheduling interviews. 
  • Helps to orient students and fellows to the law school. 
  • Serves as liaison between clinic and the Law Center. 

Requirements

  • High school diploma - Bachelor's degree preferred
  • 2 years of work experience
  • Proficiency in MS Word, Excel, budget programs, the management of online storage, and the ability to learn new programs
  • Experience or willingness to learn budget programs and case management programs.
  • Excellent organizational and communication skills
  • Ability to work with diverse groups of people
  • Self-starter who is willing to assume responsibility
  • Ability to carry out specified financial responsibilities
