Office Manager, Office of Residence Life & Student Programs - Georgetown University Law Center

Georgetown Law's Office of Residence Life & Student Programs provides students with on-campus and off-campus housing services.  On our site you will find information for on-campus housing, including rates, floor plans, and information for current residents.  We also have useful information for those who wish to live off-campus, including neighborhood information, resources, and general rates for the area. 

The Office Manager plans and directs the administrative functions of Residence Life, serves as the initial contact for all staff, students, and visitors in the Gewirz Student Center; and handles all walk-in inquiries and needs, either directly or indirectly, to the appropriate resources. Reporting directly to the Director of Residence Life & Student Programs and working closely with the Assistant Director, the Office Manager has duties that include but are not limited to:

Office Management

  • Manages, supervises, and delegates responsibility to student staff - front desk staff who field phone inquiries for the entire staff and package room staff who handle parcel distribution to the 300 residents of Gewirz.
  • Ensures that the Residence Life Office and the Gewirz Package Room is staffed 7 days a week by coordinating and maintaining the master office schedule. 
  • Maintains the mailroom's parcel racking system and oversees the mailroom operation to ensure proper delivery and accountability of packages received. 
  • Assists in interviewing, hiring, training and supervising the student assistant staff, distributes work, and follows up on student projects. 
  • Prepares paperwork for the work study staff members and all newly hired personnel. 
  • Serves as On-Call Resource for student staff should an issue arise during after-hours and weekend shifts.

Office Services

  • Coordinates daily services provided at the Gewirz front desk - including service requests, equipment checkout, newspaper distribution, mail forwarding, and loan key inventories.
  • Processes summer housing applications, prepares for resident move-in and move-out, maintains the housing deposit database, and processes credit card housing rent payments. 
  • Acts as a Building Marshal, coordinating emergency response efforts when senior administrators are not present.
  • Creates and updates the Residence Life Administrative and Front Desk Procedures for the ORL Standard Operating Procedures Manual. 
  • Serves as the resource person for all off-campus housing inquiries, establishing a knowledge base of local apartment communities and serving as a presenter for all off-campus housing presentations on campus. 
  • Reports resident maintenance requests and manages and orders office supplies.

Office Administration

  • Maintains all records of personnel (staff), departmental reports, and all departmental files. 
  • Monitors and reconciles department cost center reports, petty cash distribution, and housing deposits to ensure compliance with financial procedures.
  • Maintains the Residence Life web site, handles weekly payroll, and provides program support for the department. 
  • Manages all accounts payable and receivable, processes and negotiates contracts, reallocates procurement charges, deposits housing charges, and reconciles budgets.  

Requirements

  • High school diploma or certified equivalency
  • Familiarity with computers and word processing
  • Superior customer service skills, excellent judgment, and the ability to handle multiple tasks in a busy environment

Preferred qualifications

  • Bachelor's degree
  • 2 - 3 years of financial and/or office experience with demonstrated writing ability
  • Knowledge of university housing software programs
