Special Events Coordinator - Office of Advancement

The Office of Advancement supports the mission of Georgetown University, its faculty, and students through developing relationships with key constituencies, connecting with alumni, and working with donors to help them know and understand opportunities for partnership with the university.

The Special Events Coordinator is primarily responsible for managing registration databases and tracking attendees to events and programs designed for university development constituents and/or regional areas.  He/she will support the Special Events team by building and maintaining successful event registrations and preparing all event supplies.  He/she will also provide excellent customer service in the office and on-site at events. The Special Events Coordinator works directly with the Director of Special Events to constantly evaluate the effectiveness of these processes.  Duties include but are not limited to:

  • Evaluates, develops and manages effective procedures for tracking attendance at various Advancement development events.
  • Builds event registration in events database.
  • Coordinates of University Events, plan and execute smaller development events and programs including various donor society events.
  • Establishes and monitors a budget for each assigned event, which includes accurate estimation of all expenses and expected revenue before, during and after each event.
  • Coordinates composition and preparation of general correspondence and other materials produced for the Office of Special Events.


  • Bachelor's Degree
  • 1-2 years' experience is preferable (additionally, in a higher education setting or previous office experience)
  • Ability to effectively manage multiple projects and competing priorities at once
  • Excellent written/oral communication skills
  • Excellent organization and time-management skills
  • The ability/willingness to work as an integral part of a team are essential
  • Knowledge of Microsoft Office and database management
  • Knowledge of C-Vent data base preferable
  • Preference for knowledge of accounting
  • Ability to meet and exceed goals
