Shift: Sunday - Thursday, 7:30 am to 4:00 pm
The Supervisor of the HVAC Shop directs and coordinates facilities maintenance and repair operations for University buildings campus-wide. He or she supervises HVAC and maintenance mechanic personnel on the day shift, and is responsible for high priority maintenance repair and commissioning of HVAC systems in designated buildings on- and off-campus (approximately 6M square feet) - planning, installing, repairing, maintaining, and troubleshooting of various air-conditioning. The Supervisor of the HVAC Shop serves as the first point-of-contact on the day shift and sets the tone for customer experience of department and as a clearinghouse of information for customers, staff and contractors. He or she coordinates work with the Work Management Center (WMC), Central Shops, Contractors, Department of Public Safety (DPS), and Custodial operations. Reporting to the General Foreman, the Supervisor of the HVAC Shop has duties that include but are not limited to:
- Plans the work operations and material and manpower resources of the Air-Conditioning Branch. Provides direct input and participates in meetings and or conferences with engineering, clients, and other senior leadership personnel involving the initial analysis of long-range work requirements for the HVAC systems throughout the campus.
- Works closely with the Facilities Management team to coordinate construction activities supporting the mission of the University and overall Master Plan.
- Supervises HVAC and maintenance mechanic trades personnel to perform installation, repair, maintenance, and commissioning on a variety of Air Conditioning Systems.
- Ensures the repair, overhaul, maintenance, and servicing of equipment - for example: refrigeration equipment, water coolers, ice machines, commercial air handling units, and smaller air conditioning units; and ventilations systems, humidification and de-humidification systems, air compressors, and central vacuum systems.
- Interfaces with the Building Automation Systems (BAS) from an operation, troubleshooting, and diagnosis standpoint; and performs the installation of equipment and components relating to pneumatic & Direct Digital Controls (DDC).
- Oversees the installation, repair and troubleshooting of low voltage equipment such as thermostats and controllers; complex heating units related to steam, domestic and secondary hot water systems; and other HVAC equipment as assigned.
- Reviews the immediate and long-range air conditioning requirements based on workload forecast, and then develops work schedules to accomplish the mission.
- Plans the work of crews that install, modify, repair, and maintain standard air-conditioning systems, boilers, air compressors, and associated controls.
- Plans the work of individuals or teams to troubleshoot, test, and inspect systems for proper operation.
- Plans the work of Senior Level mechanics regarding the generation of requirements for supplies and material to address immediate and long-range needs of the systems managed.
- Manages the operation of all building HVAC systems and related safety devices to ensure all systems function as designed.
- Identifies deferred maintenance problems.
- Responds to activated fire alarms and emergencies during the day shift to complete systems reset once all-clear is given by DPS or DC fire.
- Inspects, checks and reviews systems to ensure proper operation.
- Coordinates with other organizations outside Facilities Management.
- Manages records processing and administration to ensure proper accountability and tracking of resources.
- Enters maintenance data into the Computer Aided work order system.
- Initiates correspondence with customers.
- Reviews and processes demand work requests, employee job sheets and other administrative documents to account for all labor and materials (costs by work order and costs by building).
- Reports employee time and attendance.
- Schedules, trains, and supervises staff to ensure skilled coverage in providing HVAC maintenance services.
- Schedules and/or reviews and approves schedules of staff to ensure effective coverage for services. Conducts training classes occasionally.
- Interviews and selects new employees.
- Evaluates employee performance, takes appropriate steps to correct inadequate performance, and identifies areas where additional training is needed.
- Ensures that supervised staff members comply with departmental and University rules and requirements in order to ensure an efficient, cohesive, and trouble free workplace.
- Coordinates contracted services to ensure external expertise is scheduled when required.
- Coordinates with building users and other parties regarding contractor work.
- Schedules and arranges related services to expedite contractor work.
- Participates in inspections and acceptance of completed contractor work and recommends withholding payments in situations requiring the correction of contractor work before acceptance.
- Conducts inspections to ensure that building safety is maintained.
- Assures compliance with safety codes, BOCA standards, and local building codes.
- Directs staff regarding the inspection and correction of safety hazards.
- Ensures that building safety maintenance and personnel compliance with applicable codes in conjunction with guidance from the Office of Safety and Environmental Management.
Emergency and After Hours Events
- Supports after hours events on Campus and provides assistance to event coordinator to ensure all HVAC systems are operating to building standards.
- Responds to events-related emerging challenges to ensure proper function and communication.
- Coordinates procurement of supplies and materials to ensure availability when needed.
Approves purchase requests for supplies and materials.
- Monitors purchases to ensure efficient and economical use of supplies and materials.
- Authorizes purchases under open purchase agreements.
- Maintains minimal shop stock.
- Attends meetings regarding project planning and project progress to assure maintainability and that plans meet established standards.
- Provides input regarding concerns and issues and keeps informed of construction that is planned or underway.
- Coordinates other maintenance services such as outages for construction and keeps users informed of construction activities.
- Participates in inspections and “walk-throughs” of completed construction work, noting problems of concern to Facilities Management or project team.
- Identifies actions which fall under construction warranties.
- High School diploma or certified equivalency
- License or Certification in HVAC or an Associates of Arts degree or equivalent in facilities management. Working knowledge of the trades of both Plumbing and Electrical
- At least 10 years of work experience in the field - at least 5 of those years supervising a team of mechanics in HVAC or any of the specialized trades including maintenance mechanics
- Strong written, verbal, and listening skills, with the ability to be a teacher, mentor, and coach
- Experience leading a team of mechanics with varying levels of experience on a variety of jobs associated with facility maintenance
- Must have a computer literacy with specific experience in Microsoft Office Applications - email, database management, spreadsheets, text messaging, and word processing
- Familiar with reading building blue prints and equipment plans
- Strong customer service orientation balanced with a commitment to the mission of the department, University, and budget requirements
- Innovative, dependable, flexible leader who follows through on duties as required, to include changing situations
The HVAC Supervisor is an emergency employee, requiring work during inclement weather when the University may be closed, opening late or closing early, as well as active participation in campus snow removal operations.
