Come join the American Petroleum Institute (API) as a pivotal member of our Finance Team. We are looking for a bright and team oriented Assistant Controller to oversee API’s accounts receivable, general ledger, and financial reporting. Working directly with the Controller, you will coordinate monthly and year-end closing activities and assist with preparation for the annual audit along with supervising a staff of two. You will also contribute to the financial operations department technology strategy, both support of current systems and vision for new development.

Your essential duties will be to:

  • Monitor transactional processes and related controls to ensure that transactions are recorded consistent with GAAP, compliant with API policy and legal requirements and in a manner that facilitates preparation of external GAAP financial statements and tax filings.

  • Coordinate the monthly and annual close schedules to ensure deadlines are met and assist the Controller in preparing supporting schedules for the external financial statements and audit.

  • Working with the Controller, manage and coordinate member dues billing. Accumulate volume information to perform analysis and calculation of member dues for production based dues payers. Communicate with member company representatives as needed to resolve variances or follow up on dues related questions and issues.

  • Provide oversight and maintenance (in coordination with other FOD team members) of API’s internal financial systems including OneStop Reporting (bi360), Concur, Anybill, Contracts Management System, ADP (Time & Attendance and Payroll) and Microsoft Dynamics CRM and GP. Provide training, in coordination with subject matter financial operations staff members, and provide support to API end users as necessary.

  • Coordinate a training and communication plan for FOD to satisfy user needs across API.

  • Provide strategic vision/enhanced technology for department.

  • Maintain API’s chart of accounts across all business applications and assist FOD in rollover of systems and month and year-end, including activities associated with the new year budget.

  • Oversee the detailed general ledger transactions initiated by the Senior Accountant, GL, and Senior Accountant, Accounts Receivable, including preparing and posting select monthly journal entries.

As our ideal candidate, you will have a:

  • CPA with a Bachelors’ or Masters’ degree in accounting with 10+ years’ experience in non-profit accounting.

  • Strong analytical skills in financial statement analysis and ability to explain variances and financial concepts to others in a simple, easy to understand manner.

  • Knowledge of automated accounting software and MS Office products necessary.

  • Ability to work independently, monitor projects from start to finish and meet tight turnaround times.

  • Excellent organizational, communications and project management skills required.

  • Must be able to work and collaborate in a team-oriented environment.
