Attends Board of Zoning Appeals (BZA) meetings; digitally records proceedings and simultaneously takes notes using a computer software program. Determines the essence of testimony and presentations and independently composes detailed original correspondence and minutes. Prepares Returns of Record to the Court including verbatim transcripts in litigated cases. Checks public hearing notices by reviewing information contained in land and tax assessment records. Prepares and distributes materials for weekly BZA meetings, including those of a confidential nature. Responds to phone, face-to-face, and electronic inquiries. Maintains BZA agendas, speaker lists, and application files. Archives records, and performs other duties as assigned. This position requires strong abilities in written and oral communications; familiarity with varied styles of writing; knowledge and experience with computers, word processing software, and associated document formatting; the ability to follow instructions in the performance of a variety of duties requiring attention to detail; and the ability to work independently.

Note: The assigned functional areas of the position are general administrative support, customer service, transcription, and/or communications.

Employment Standards

MINIMUM QUALIFICATIONS:
Any combination of education, experience and training equivalent to high school graduation and three years of experience providing administrative support in the assigned functional area(s).

NECESSARY SPECIAL REQUIREMENTS:
The appointee to this position will be required to complete a criminal background check to the satisfaction of the employer.

PREFERRED QUALIFICATIONS:
  • Knowledge of Fairfax County zoning ordinance and comprehensive planning process.
  • Experience working with Boards, Authorities, and/or Commissions.
  • Experience and knowledge using Digital Court Recorder (DCR)?or equivalent recording software.
  • Skills in notetaking, proofreading, customer service, and organization.
  • Experience in writing meeting minutes.
  • Excellent oral and written communication skills.
  • Ability to exercise tact and discretion, interact in a friendly and customer-service oriented manner.
  • Proficient in Microsoft Office Suite (Word).

PHYSICAL REQUIREMENTS:
Position is primarily sedentary; however, employee will be required to do some walking, bending, standing and carrying of items less than 15 lbs. in weight. Ability to operate keyboard driven equipment, listen to taped hearings and transcribe them, and ability to communicate clearly. All duties performed with or without reasonable accommodations.
