The Contract Management Senior Associate provides support to the administration of Connexi contracts and may be asked to support other tasks, including the development of processes and procedures and contributions to business development at this start-up organization. They will ensure that all contracts and other types of materials are managed consistent with Connexi and Enterprise standards and will provide administrative support as needed in other areas. Illustrative duties and responsibilities are listed below, but exact duties and responsibilities will vary depending on the requirements of the contract(s) being supported.

Duties and Responsibilities:
  • Liaises directly with Connexi departments to ensure new contracts are setup in corporate systems and to ensure contract compliance with rules, regulations, and corporate policy, in consultation with client account manager or director as appropriate
  • Serves as liaison between Connexi and contract billable staff to ensure information flow, compliance with internal processes such as timekeeping and performance evaluations, and problem solves issues
  • Drafts and tracks administrative and financial contract requests and changes to clients and partners, including approvals for staffing, financial reporting and tracking, activity modifications, and budget adjustments
  • Supports recruitment efforts for contract staff under supervision of a manager / director, including sourcing candidates, conducting interviews, collecting employment verification documentation, and providing finalist feedback
  • Supports monthly reforecasting for contract budget; drafts monthly budget and staffing memos; reviews monthly invoices for accuracy and compliance; tracks expenditures against budget and total obligated funds; supports reviewing project and financial deliverables and reports for completeness and readiness for submission
  • Analyzes and submits subaward invoices and backup documentation. Supports drafting subawards and modifications Develops and manages contract trackers, including conducting data entry of monthly contract invoicing, expense reports, and other types of data as requested
  • Provides travel support for employees and consultants by gathering relevant travel information, reserving tickets, and seeking necessary travel authorizations and approvals; liaises with traveler to collect expense reports and required backup documentation
  • Collects necessary backup documentation to complete procedures for onboarding
  • Research and draft required reporting to submit to appropriate parties
  • Utilize existing templates to draft contract agreements
  • Contribute to documenting contract successes and sharing them with Connexi communications team
  • Ensures complete and comprehensive contract documentation by saving relevant contract documents and approvals to contract SharePoint files and facilitating document reviews and file audits as appropriate
  • Schedules meetings, prepares agenda, and captures notes as appropriate
  • Participates in Connexi business development efforts, including serving on proposal teams in specific line roles of increasing complexity.
  • Performs other duties as assigned

Requirements of Ideal Candidate:
  • Bachelor's degree or equivalent work experience
  • Minimum 2 years of relevant administrative or professional work experience, including 1 year of contractual, supply chain, project management, or related experience
  • Experience with data entry, filing, cataloguing, retrieving, and preserving records preferred
  • Experience with Connexi's clients - including USAID, FCDO, Gates Foundation, and UN agencies - preferred
  • Communicates clearly and concisely in both verbal and written communications; strong cross-culture communication and sensitivity skills
  • Demonstrated ability to work in a fast-paced environment with changing priorities and deadlines
  • Demonstrated experience multitasking with attention to detail, organization, and time management skills
  • Demonstrated experience following standard practices and procedures, receiving general instruction and supervision, and contributing to projects and initiatives
  • Excellent customer service and interpersonal skills
  • Works independently and as part of a team
  • Demonstrated resourcefulness in problem solving and initiative to learn new skills
  • Strong knowledge of Microsoft Office applications
  • Ability to maintain discretion and work with highly confidential and/or protected information
  • Previous experience working in international development and/or living or conducting volunteer work in developing countries a plus
  • Fluency in English required; additional language proficiency preferred
  • Willingness to travel for 4-8 weeks per year

Physical Requirements:
  • Regular attendance and availability during normal business (EST) hours are required.
  • Ability to work in a normal office and/or remote environment.
  • Occasionally lift and/or move up to 25 pounds.

Work Conditions:
  • Normal office environment; usually moderate noise level.
  • Occasional exposure to environmental conditions includes exposure to hot, cold, wet, humid, or windy conditions caused by the weather

The Salary Range for this position is expected to be: $55,760 - $69,700.

An employee's pay position will be based on several factors including, but not limited to, relevant education, qualifications, certifications, experience, skills, seniority, performance, shift, travel requirements, and business or organizational needs.

Overtime exemption status may change due to state regulatory requirements.
