Records Center Warehouse ManagerThe University Records Management (URM) unit within the Special Collections Research Center at George Mason University Libraries manages the non-current records of all George Mason University offices and departments. Serving as one of the University's compliance programs, URM not only consults on procedures and policies, but collaborates with other records and information-oriented units to keep Mason up to date on University policies, retention requirements set by the Commonwealth, as well as federal and international laws.About the Position:The Records Center Warehouse Manager performs specialized and complex duties managing the URM warehouse center (a shared space within the larger GMU Facilities warehouse) to support the University Records Management program. This position interacts with the large and diverse university community (faculty, administrators, legal counsel, and staff), and interacts independently in person, and via email and phone, and ensures the professionalism of the URM program by following clear protocols and expectations for staff interacting with university community members. This position is responsible for mastery and daily use of the URM records database system, as well as gaining a university-issued certificate in electronic cart driving; managing the tracking and reviewing of inventory, and pick-up and delivery of boxes to offices across the Fairfax campus; and assisting the University Records Officer with special projects.NOTE: Due to the warehouse environment (no air condition/heat), morning hours are highly encouraged between May through September.Responsibilities:Responsible for supervising the daily management of the University Records Center, with an inventory of roughly 14,000 cubic feet of temporary university records, including receiving and processing incoming shipments and records transfers;Responsible for timely response to inquiries and requests from University Records Management staff;Supervises the processes and reviews procedures for delivery of records into storage and retrieval of records for University Administration, University Counsel and academic offices, departments, and units related to litigation and other requests;Reviews and reconciles the database inventory of records on a regular basis, including the arrangement for secure records destruction;Oversees physical condition of the records and the Records Center, resolving facility and/or safety issues independently, and using judgement to determine which issues to refer to the University Records Officer. Evaluates boxes and pallets for possible damage, resolving issues as needed, and referring larger issues such as water damage and mold to the University Records Officer;Works independently to achieve and maintain a cost-effective, timely, and orderly University Records Center. Preserves a safe and clean work environment by keeping shelves, pallet area, and workstations neat, and complying with procedures, rules, and regulations;Keeps and maintains extremely accurate records;Uses independent judgement to facilitate records management work within the warehouse; andOther duties as assigned.Required Qualifications:Demonstrated knowledge and use of information technologies, including database systems (preferably records management systems), email, Windows and/or Mac environment, and internet;Successful experience supervising, training, and mentoring staff members and/or student employees;Advanced customer service in an academic or professional setting;Strong organizational skills, including ability to manage competing priorities, meet deadlines, and exercise good judgement;Well-developed analytical and problem-solving skills, and an excellent aptitude for accurate and detail-oriented work;Interpersonal and communication skills (written and oral) for providing services in a large and diverse community including faculty, students, staff, and university administrators;Must be responsible, dependable, punctual, collegial, and flexible;Able to remain calm, negotiate fairly and rationally, and exercise sound judgment under time pressure or in emotionally charged situations;Able to lift 40 lbs on a regular basis;Able to work both independently and as part of a team in a fast-paced, production- and service-oriented environment;Work in a warehouse environment with dust, possibly mold or mildew, and no air-conditioning or heat; andMust currently possess an appropriate, active, valid motor vehicle operator's license that meets all of GMU's requirements for operating state vehicles and equipment under Mason's Vehicle Use Policy 1411 https://universitypolicy.gmu.edu/policies/vehicle-use/. The Office of Risk Management reserves the right to review the driver's licenses and Motor Vehicle Reports (MVRs) of all candidates selected with employment contingent upon a favorable review.Preferred Qualifications:Well-developed supervisory and managerial skills;Familiarity with Virginia Public Records Act and associated records retention scheduled by the Library of Virginia; andExperience working in archives and/or records centers.
