Business Operations manages various shared support services and enterprise-wide functions to include records information management, business continuity planning, workplace safety and security, travel, food service, staff health clinic, fitness center, parking garage, facilities and real estate management, media operations and print and mail services.

The Facilities Management Director plans and directs the construction, maintenance, and day-to-day operations of AARP-owned real estate on the East and West Coasts. This highly-visible position is responsible for creating and delivering world-class building standards and customer experiences for thousands of staff and visitors. The position will develop and maintain a long-term strategic vision and roadmap for advancing Green and Sustainable building efforts. It also serves as the primary liaison with contractors, architects, engineers, and other suppliers and directly oversees the outsourced facilities management relationship, work, contract, and multimillion dollar budget.

Responsibilities

  • Leads all aspects of developing and implementing facilities management policies and procedures to ensure compliance with applicable laws, regulations, and AARP standards, including oversite and direction of software used to track facilities tickets and space reservations.
  • Directs and oversees the maintenance and repair of facilities, including HVAC, plumbing, electrical systems, and other building systems, ensuring that they are in good working order and that maintenance occurs in a timely and efficient manner.
  • Interprets and evaluates specifications, statements of work, proposals, and construction drawings to oversee the planning and execution of capital projects, such as renovations, expansions, and new construction, ensuring that projects are completed on time and within budget.
  • Directs work and management of relationships with third-party vendors, such as Facilities Management vendor, architects, engineers, mailroom vendors, construction vendors, ensuring that they are delivering services in accordance with contract terms, in addition to contracted labor in various locations.
  • Develops and manages sizable budgets for facilities operations, ensuring that expenses are controlled and that facilities are operated in a cost-effective manner.
  • Ensures compliance with laws, regulations, and industry standards related to facilities management, including building codes, safety regulations, and environmental standards.
  • Develops and manages strategic space planning and utilization, ensuring that facilities are being used efficiently and that space is allocated in accordance with business needs and in line with enterprise strategy for space usage, in addition to the oversight of occupancy planning software.
  • Other responsibilities as designated in support of organizational facilities priorities.

Qualifications

  • Bachelor's degree or equivalent years of experience.
  • LEED Green Associate designation required; Facility Management Professional (FMP), Sustainability Facility Professional (SFP) and/or Certified Facility Manager (CFM) preferred.
  • 10+ years of experience in Facilities Management or related experience.
  • Must have positive interpersonal skills to work professionally with staff and have experience establishing effective and collaborative relationships with community members.
  • Knowledge of principles and practices related to the management of maintenance, custodial, and landscape activities.
  • Possesses hands-on experience with HVAC units, electrical, grounds care, buildings, custodial care, carpentry, and safety.
  • Has a working knowledge of all applicable OSHA, EPA, and California (able to read and understand CA code) and Washington DC codes.
  • The usual and customary methods of performing the job's functions require the following physical demands:
    • Occasional lifting (should be able to lift up to 20 pounds), carrying, pushing, and/or pulling; and significant fine finger dexterity.
    • Must be able to move freely to various locations within offices and other settings.
    • Need to be able to get to the office within one hour of receiving call.
    • Available on call twenty-four (24) hours a day, 7 days a week, 365 days a year.
    • Able to travel when needed.

Flexible Work Arrangement (FWA)

AARP observes Mondays and Fridays as telecommuting workdays, except for essential functions. Remote work and telecommuting can only be done within the United States and its territories.
