Chemonics International is seeking an Operations Associate. The Operations Associate provides logistical and operational support in the areas of talent management, financial management, and divisional performance to the Finance and Accounting division, including the Chief Financial Officer (CFO). The associate is responsible for developing communications, planning meetings and events, and supporting corporate and divisional initiatives. They serve as a resource to divisional staff and support talent management needs, event planning, and recruitment. They will contribute to administrative and operational tasks, as necessary to support the operations team and/or SVP. The associate is an individual contributor who works under the supervision of the operations manager. We are looking for individuals who have a passion for making a difference in the lives of people around the world.

The Hourly Pay Range for this position is: $21.96 - $27.46.
An employee's pay position will be based on several factors including, but not limited to, relevant education, qualifications, certifications, experience, skills, seniority, performance, shift, travel requirements, and business or organizational needs.

Responsibilities:
Talent Management
- Manages assigned divisional recruitment, including training panelists, screening candidates, conducting interviews, and serving as a point of contact for hiring managers throughout the recruitment process
- Ensures a smooth onboarding process by facilitating divisional orientation sessions, liaising with IT and other support units, and serving as a resource for new hires
- Supports divisional employee transitions, including submitting draft payroll change forms, maintaining the divisional organizational chart and listservs, drafting and coordinating divisional welcomes and farewells, and liaising with the human resources department
- Proactively support staff through periodic check-ins by providing guidance, targeted assistance, and addressing needs and/or gaps. Elevate questions or concerns to manager and/or director as needed
- Proposes and implements solutions and targeted engagement activities designed to increase staff engagement
- Assists less experienced staff in navigating Chemonics' culture, structure, processes and procedures
Financial & Contract Management
- Leads drafting, signing, and notarizing bank signatory resolutions for overseas project bank accounts, periodically reconciling bank account information and providing training on project registration and bank account opening procedures
- Facilitates administration of corporate credit card program, including setup, tracking, training, and ad hoc requests
- In coordination with Manager, facilitates yearly Foreign Bank Account Report (FBAR) filing for company, including monitoring IRS and FinCEN regulation changes in coordination with external counsel
- Contributes to budgeting and forecasting processes, including tracking and updating divisional expenditures against approved annual budget, personnel/employee relations spending, and monthly staff reforecasting and variance projections
- Maintains division's vendor records and processes vendor invoices in payment request system, Dynamics 365
- Schedules Subcontractor Rate Reviews with F&A rate reviewers
Divisional Management
- Provides support to the CFO, including meeting and calendar management, making travel arrangements, researching and providing guidance to staff on signatory authorities and corporate policies, ensuring that documents needing signature are processed in a timely fashion
- Coordinate planning for divisional retreats, staff meetings, and other teambuilding events, including scheduling, drafting agendas, compiling documents, and coordinating catering
- Coordinates and replies to adhoc requests, elevating to the manager and director when applicable
- Maintains division's intranet page and updates as needed
Other Duties
- Participates in technical and/or new business activities, as appropriate
- Performs other duties as required
Qualifications:
- Bachelor's degree or equivalent work experience required; degree in business administration, finance, or accounting preferred
- Two years of work experience in a professional office work environment preferred
- Demonstrated ability to communicate clearly and concisely orally and in writing; strong cross-culture communication and sensitivity skills
- Ability to multitask with strong attention to detail, organization, and time management while working with confidential and protected information
- Ability to work independently and as part of a team
- Demonstrated ability to balance applying standard practices and procedures with sound judgement and reasoning to problem solve
- Strong customer service and administrative skills, including knowledge of Microsoft Office applications required
- Experience with Dynamics 365 and data analysis/visualization tools such as PowerBI preferred
- Ability to become a local notary
- Demonstrated leadership, versatility and integrity
Physical Requirements:
- Regular attendance and availability during normal business hours are required
- Ability to work in a normal office environment
- Occasionally lift and/or move up to 25 pounds
Work Conditions:
- Normal office environment; usually moderate noise level
- Occasional exposure to environmental conditions includes exposure to hot, cold, wet, humid, or windy conditions caused by the weather
- Ability to travel and work abroad in less developed countries for at least 4 to 8 weeks per year
