Job Summary

Aptive is seeking a full-time Onsite Event Coordinator with experience in planning and coordinating events/conferences with a wide range of duties to include but not limited to vendor management, speaker management, registration support, and attendee support. The candidate will provide logistical, marketing, and administrative support to support and plan for federal clients in the science, innovation and engineering sector.

This full-time position is located in Alexandria, VA. This position may also be remote. Position may include travel to conferences.

Primary Responsibilities

  • Manage event planning and logistics.
  • Provide on-site support for participants and presenters during event, as necessary.
  • Manage all protocol requirements surrounding conference, to include planning, organizing, registration, administration, flag placement, gifts and preparation of conference materials.
  • Provide day of logistical, marketing, and administrative event support.


Minimum Qualifications

  • 4+ years of experience planning and executing events.
  • Bachelor's degree in communications, public relations, marketing, or related fields.
  • Experience supporting large events, including regional events across the country.
  • Excellent organizational skills with a high-level attention to detail and ability to carry out multiple tasks under tight deadlines.
  • Ability to obtain and maintain a public trust clearance.
  • Legal authorization to work in the U.S.

  • Ability to get up to speed quickly on complex issues.
  • Desire to work in a fast-paced, rapidly evolving environment.
  • Excellent ability to communicate across most mediums and settings.
  • Experience with conceptual design, branding and marketing for events.
  • Strong time management, creativity and problem-solving skills.
  • Responsible for executing each regional events.
  • Experience in conference planning and multi-logistics events; must be comfortable managing a wide range of duties, including but not limited to vendor management, speaker management, registration support, and attendee support.
  • The onsite event support must have excellent verbal and written communication skills including experience with Microsoft office tools.
