Office of the DeanExecutive Administrative Assistant to the Associate DeanThe George Mason Office of the Dean, within the College of Engineering and Computing (CEC), seeks a proactive, organized, and self-reliant Executive Administrative Assistant to the Associate Dean. About the Department:The Office of the Dean is the lead executive office for the College of Engineering and Computing. The College's central goals and strategies are developed within the Office of the Dean, and it serves as the main conduit between the College and other executive level offices within the University as well as with the departments, programs, and centers within the College.About the Position:The Executive Administrative Assistant to the Associate Dean will provide executive-level administrative support to CEC's Associate Dean for Research (ADR) as well as provide administrative support to other Dean's office administrators, as needed.Responsibilities:Meeting Coordinator and Calendar Management:Effectively manage the ADR's calendar, including coordinating with internal and external constituents;Prioritize requests for ADR's available time;Brief the ADR regularly on inquiries and issues;At the direction of ADR and/or supervisor, coordinate meetings for internal and external guests, this may include coordination with CEC departments, and other units throughout the University;Issue meeting invitations, prepare agendas, reserve rooms, catering, A/V, and other logistics; andAttend meetings as requested to take notes and record action items.Project Coordination:Identify and assign (in coordination with supervisor) action items on behalf of the ADR to others as appropriate;Track the progress and completion of said action item;Issue reminders related to ADR priorities to the ADR and others as needed; Accompany the ADR to meetings and capture notes and actions; prioritizing actions as needed;Prepare and provide requested materials to internal and external audiences, working closely with colleagues across the University; and Conduct research, as needed for the ADR and supervisor as related to issues of strategic importance for the CEC Dean's Office.Travel Coordination:Manage travel arrangements, including flights, hotels, conference registration, car rentals, read-ahead materials, and other aspects of executive travel for ADR and other members of the Dean's Office team;Coordinate and book travel for external CEC visitors;Perform visual compliance screenings for all Dean's Office international travel and guests; andProcess reimbursements promptly upon traveler's return.Administrative Support:Support the preparation of correspondence and PowerPoint presentations for CEC Dean's Office team; andAt the direction of supervisor, provide administrative support and meeting/event coordination for other members of the Dean's Senior Staff.Required Qualifications:Skill in operating applicable office equipment and software;Ability to work both as a team member and independently;Ability to multi-task and remain calm under pressure;Outstanding customer service orientation, can do attitude;Excellent organizational and project management skills, excellent written and oral communicator;Ability to use the Internet and library resources for research and references;Proficiency in Microsoft Office Suite; andDemonstrated related experience, including working for an executive (typically 3+ years).Preferred Qualifications:5+ years related experience preferred;Prior experience working in higher education preferred; andBachelor's Degree in a relevant field.*Please note that this is not a 100% remote/virtual position, but it is telework friendly.
