Administrative AssistantThe George Mason University's Cyber Policy Studies Laboratory, within the College of Engineering and Computing, seeks a proactive, organized, and self-reliant Administrative Assistant who has excellent communication and organizational skills to support the principal investigator on research and administrative matters related to their grant. George Mason University has a strong institutional commitment to the achievement of excellence and diversity among its faculty and staff, and strongly encourages candidates to apply who will enrich Mason's academic and culturally-inclusive environment.This position is considered Quasi Full-Time at 30 hours per week, 0.75 FTE, and is benefits-eligible.Responsibilities:Provide administrative assistance to Principle Investigator (PI) for research and administrative matters related to the grant;Schedule meetings for the PI as needed domestically and internationally;Coordinate travel and reimbursement for heavy international travel;Purchase and coordinate shipping of equipment itemized in the grant with a P-Card;Assist in managing, transporting and/or storing de-identified HSR data for the grant (Mason HSR - IRB training required immediately upon commencement of work);Provide administrative assistance to the PI in developing or growing an academic field in cyber policy / digital anthropology;Organize and coordinate an annual conference with IEEE as itemized in the grant which will take place both remotely and overseas;Coordinate publication related duties (payments, shipping, etc.) for these conferences and grants in conjunction with Mason requirements;Address payment issues related to grants and international currencies as needed;Provide administrative assistance for several international consultants working overseas;Process purchase order request in the e-VA system required for hiring of the international consultants;Document management - to include minutes and follow ups on needed items; andManage invoicing and payment documentation.Required Qualifications:Demonstrated senior-level administrative experience;Demonstrated experience with grants and contract;Demonstrated experience processing purchase requests, travel reimbursements, and purchase card purchases;Experience with export control requirements;Experience processing international payments;Experience coordinating international conferences, meetings and events;Demonstrated and personable communication skills;Ability to self-organize and maintain detailed records and minutes;Demonstrated problem-solving skills: ability to identify and address issues early in to ensure smooth execution;Proficiency using e-VA, Word, Excel, PowerPoint and MS Teams;Polite, efficient and high responsiveness; andCordial, team-building approach.Preferred Qualifications:Extensive knowledge of the U.S. Department of Defense either in previous work or training;Experience with multi-million-dollar budgets;Experience working with international consultants, researchers, fellows and students;Experience with international grants and contracts;Experience with Department of Defense grants and contracts; andCompletion of Human Subject Research training at Mason to handle or organize any of the HSR data in the project (can be completed after being hired).Mason Engineering and Computing: The Future of Engineering is HereThe College of Engineering and Computing at George Mason University is comprised of the Volgenau School of Engineering and the School of Computing.
