The Administrative Assistant will assist the Business Manager with Administrative Operations and Mission Support to Customs and Border Protection. The Administrative Assistant will be responsible for coordination and monitoring of tasks and ensuring that deadlines are met and prepares a variety of analytics, monthly reports, and presentations.

The Administrative Assistant will assist the Business Manager with Administrative Operations and Mission Support to Customs and Border Protection. The Administrative Assistant will be responsible for coordination and monitoring of tasks and ensuring that deadlines are met and prepares a variety of analytics, monthly reports, and presentations.
Responsibilities
- Provide administrative support on contract.
- Assist in tracking resource management, funding, burn rates, ETCs, and other program financials by working closely with the corporate Accounting Department and Business Integration Department., utilizing Microsoft Office and government formats and templates.
- Act as custodian of contractual and program records for assigned contracts and support tasks as identified by the Contracting Officer's Representative (COR).
- Provide administrative support including but not limited to preparing ad hoc reports, faxes, copying, filing, monitoring and preparing supply orders, records management to include updating, maintaining, and tracking of Configuration Items stored on the Government's Shared Drive, SharePoint, Dimensions, Physical Records Room, and assisting with telephones and visitor control when necessary.
- Maintain administrative confidentiality in daily work activities by the Privacy Act of 1974 and established office policies.
- Assist with office equipment including, but not limited to, copy machines, shredders, fax, and postage machine, and telephone systems.
- Track, monitor, and perform usage analyses on office equipment.
- Provide support to ILB Mission Support with supply ordering and management process.
- Provide support to ILB Service Request Intake Process with validation and tracking of Service Requests assigned using Microsoft SharePoint and notifies internal stakeholders of received Service Requests.
- Provide mission support in Scrum Meetings capturing Decision Points and Action Items captured in the meeting.
- Provide mission support in Government Technical Meetings capturing Decision Points and Action Items captured in the meetings.
- Assist with documenting operational/functional workflows and processes using Microsoft Word, Excel, Microsoft SharePoint, and PowerPoint.
- Track and maintain the shared drive filing system and load required documents to the Shared Drive Folders, Microsoft SharePoint, Dimensions, or other mandated systems as required.
- Assist with gathering statistics or data from CBP systems to analyze in support of data calls and ad-hoc reporting.
- Provide support to ILB Mission Support with the monitoring, tracking, and preparing responses to Data Calls inquiries requested from Enterprise Network Technology and Support Directorate (ENTSD).
- Provide support with file configuration documentation from an Online Scoreboard.
- Support the tracking and monitoring of the government's shared drive filing systems and upload required documents to the government's preferred system of choice (i.e., Shared Drive, Microsoft SharePoint, Dimension, etc.).
- Handle confidential and non-routine information.
- Provide mission support to ILB with the Semi-Annual and Annual CBP Inventories.
- Provide mission support to ILB Mission Support with the handling of ILB Conference Room reservations and teleconference requests.
- Other duties as assigned.
Qualifications
- Bachelor's degree
- 3+ years of administrative experience, including report preparation and technical writing
- Additional years of experience may be used instead of the education requirement
- Must have a valid driver's license
- Must pass a CBP Background Investigation
Knowledge, Skills, and Abilities
- Proficient in Microsoft Word, Excel, PowerPoint, and SharePoint at an intermediate level.
- Proficient in Integrated Logistics Support System (ILSS) Maximo is preferred.
- Knowledge of Microsoft Project and Visio is preferred.
- Knowledge of Federal Acquisition Regulation (FAR) is required.
- Knowledge of CBP's Administrative Processes and Procedures is required.
- Must demonstrate critical thinking and problem-solving skills, strong work ethic, ability to be a self-starter, and the desire to work and succeed in a rigorous and challenging dynamic business environment.
- Must have excellent writing, presentation, and verbal skills.
- Must have excellent oral communication skills and strong organizational skills.
- Must possess the ability to multi-task and prioritize in a fast-paced environment.
- Must possess the ability to work independently on projects that requires the gathering of statistics or data to respond to data calls and support resources for the performance of activities in a specific program.
