Mason Enterprise provides a comprehensive suite of business assistance services supporting Mason's regional and statewide economic development engagement. Formal program services, available to all businesses, include business incubators with flexible leases, co-working and shared space. Supporting programs include the Virginia Small Business Development Center Network, Virginia Procurement and Technical Assistance Center, International Business Development, Innovation Commercialization and Assistance Program (ICAP) and Community Business Partnership. These services are provided by professional staff, volunteers, and interns.About the Position:The Mason Enterprise Finance and HR Assistant reports to the Assistant Director, Budget and Administration. Responsibilities:Finance DutiesManage and execute monthly invoicing/bookkeeping for Regional Centers - MEC-Fairfax and MEC-Fauquier:Review/update monthly invoices within QuickBooks ensuring the correct line items/amounts are entered and any necessary adjustments are calculated;Send monthly invoices to clients;Deposit payments from MEC-Fairfax clients;Manage (add/change/delete) ACH payments for MEC-Fairfax;Process revenue and expenses in QuickBooks - (online version and desktop version);Provide Credit Card support and processing - Square for MEC-Fairfax; Touchnet for MEC-Fauquier;Maintain accurate client payments and billing information in QuickBooks - (online version and desktop version);Send out late payment notices to clients; notify regional managers of delinquent accounts;Process security deposits, including refunds;Reconcile QuickBooks accounts;Generate reports for MEC Regional Managers, City of Fairfax EDA, and Fauquier County EDA as requested;Answer questions from clients, regional managers, and City of Fairfax EDA;Perform monthly reconciliations for MEC GMU central support accounts;Purchase goods and services using the eVA Procurement system and the GMU P-card. Enter eVA confirming orders as necessary. Submit invoices for payment; andAssist with creating and maintaining filing (electronic and paper) system for MEC accounts.HR DutiesServe as the HR Liaison for the ORIE department;Support ORIE management with hiring for new/vacant positions completing all necessary transactions during each position's lifecycle up to "fill" and "close";Serve as the Search Committee Coordinator for open positions;Work with search committees to ensure a proper search and provide guidance when necessary including ensuring that all search committee members receive necessary training;Draft admin/faculty contract letters and submit hiring information to HR for Classified Staff Hiring proposals;Prepare Wage employee hiring packets including information submitted to Mason Onboarding;Prepare and submit Employee Personnel Action Files (EPAFs) for Wage employees;Complete necessary HR transaction forms for signature as directed by the Assistant Director of Budget and Administration;Follow up with Mason Enterprise staff, HR and other departments as necessary on various HR transactions; andAssist with creating and maintaining filing system for current and new employees.Required Qualifications:Strong organizational, communication, data entry, and computer skills;Strong attention to detail;Ability to assess priorities, organize and operate in a flexible manner;Experience with and working knowledge of MS Office suite software programs;Experience with and working knowledge of QuickBooks; andAbility to maintain discretion with confidential material.Preferred Qualifications:Bachelors and/or Masters degree in applicable field, or equivalent professional experience;Experience in an HR role;Experience in a financial role using Ellucian/Banner System;Experience with the eVA procurement system, and state and university purchasing guidelines; andExperience at a University or similar setting.
