Administrative Support Specialist (Part-Time)The George Mason University, Department of Criminology, Law & Society is looking for an enthusiastic and energetic person for a part-time (30 hours/week) administrative support opportunity. The department is an academic unit within the College of Humanities and Social Sciences (CHSS) that serves to educate students on criminal justice matters. The department provides Northern Virginia, the Commonwealth of Virginia and the nation with excellent teaching and research useful to justice practitioners and policy makers. George Mason University has a strong institutional commitment to the achievement of excellence and diversity among its faculty and staff, and strongly encourages candidates to apply who will enrich Mason's academic and culturally inclusive environment.About the Position:The Administrative Support Specialist provides a full range of administrative, academic and communication/marketing support for the department. The position reports to the department Finance and HR Manager, and is responsible for the daily execution and coordination of such support services to ensure efficient department operations; and support the needs of faculty, staff and students. Responsibilities:AdministrativeManage front office operations including oversight of incoming and outgoing mail and packages, receiving all guests/visitors and managing the main department email account, phone and fax line;Train and supervise student wage employees who assist with front office/reception and administrative duties;Maintain common equipment and work areas within the department to ensure an organized, safe, efficient and well-maintained work environment;Responsible for organizing department events (Awards Ceremony, graduation ceremonies, guest speaker presentations, candidate job talks, etc.);Coordinate with Key Control Liaison to manage office access and distribution of internal keys;Assist Grad Coordinator with grad student related events, as needed;Manage work order tickets for building maintenance, IT, and telecom requests; andAct as Records Management Liaison to maintain proper storage of department electronic and paper files according to University and State guidelines.Academic SupportProvide general guidance and instruction to outside constituents (students, guests and visitors) regarding department and university academic policies and procedures, where appropriate;Expedite and assist students and faculty with academic-related transactions such as grade changes, late schedule adjustments, student appointment scheduling, etc.;Manage adjunct contracts upload process for all academic sessions;Assist HR Liaison with tracking and onboarding new adjunct hires for all academic sessions;Maintain timely communication and manage faculty course preparations each semester (i.e. book orders, syllabi, contracts, etc.);Maintain updated faculty ListServe for accurate communication to all department constituents; andMaintain faculty bios and syllabi on the department website.Communications & MarketingServe as CLS Website editor to oversee site content and act as department liaison with CHSSWeb team;Manage and maintain faculty and adjunct bios and syllabi on department website;Assess, monitor and manage the performance and usage of the department website using Google Analytics and ADDThis performance tools;Coordinate all social media outlets in collaboration with faculty and staff to create engaging online presence for current students, alumni and prospective students;Work closely with CHSS Development team and Department Chair to ensure department messaging, engagement and growth of our online community;Develop and produce, at the direction of the Department Chair, a department newsletter; creating ideas for, and acting as editor of the newsletter; andWork closely with the Department Chair and the Dean's office to develop and coordinate alumni engagement programs for the department.Required Qualifications:Expert knowledge of office management systems and procedures;High School Diploma/GED or equivalent combination of education and experience;Progressive administrative experience with demonstrated technical proficiency and proven professionalism;Excellent interpersonal, organizational and written and verbal communication skills;Experience with events planning and management;Knowledge of social media platforms and engagement strategies;Detail-oriented and deadline-driven with ability to prioritize a large volume of tasks;High level of creativity and enthusiasm;Ability to genuinely appreciate working with a diverse group of constituents;Attention to detail and problem-solving skills; andProficient with, and ability to stay up-to-date on new systems, applications, operational tools and technology.Preferred Qualifications:Experience with alumni engagement and outreach, social media business platforms and website content management preferred;Administrative or related experience in Higher Education setting preferred;Previous work involving newsletter or other creative writing; andWebsite and content management experience.
