Job Description

The Office of Early Childhood is seeking a Spanish speaking bilingual registrar to assist in the student registration process, on a temporary part-time basis, to serve in the role of registrar to assist in enrolling students for school who have a primary language other than English in the home. Registrars perform specialized and clerical and technical tasks related to the registration of students and maintenance of student records and files; as well as entering and maintaining student data in an automated student information system, responding to inquiries from schools, and related activities of the Office of Early Childhood. The temporary registrars report to the Coordinator of Citywide Early Childhood Programs.

Temporary Registrars work with students and families who have a language other than English, the school registrars, and the VPI administrative assistant/registrar.

Qualifications

Education: High school diploma or equivalent.

Experience: Applicants should have experience working with linguistically and culturally diverse students, be culturally competent, familiar with the registration process, and bilingual. Participation in registrar training will be required. Data entry and general clerical work, some of which shall involve the maintenance of student records and student data in a student information system, or any equivalent combination of experience and training which provides the required knowledge, skills and abilities.

Essential Functions
  • Complete new entrant registrations, rollover students, in district/out of district transfers, maintain files, documents and student records. Upon completion of the registration file, ensure entry into PowerSchool in a timely manner
  • Assist families in completing the registration paperwork, including phone calls to physician offices, health departments, previous schools, and other relevant places. When registrations are complete, prepare documents and send to schools
  • Follow-up with phone calls to parents regarding completion of registration, pending documents, appointment reminders, and other requirements as needed
  • Record data accurately and compiles a variety of information/data to ensure compliance with financial, legal, state or federal requirements
  • Assist with additional appropriate tasks as assigned for the purpose of ensuring an efficient and effective work environment
  • Attend staff meetings and training sessions as assigned for the purpose of conveying and/or receiving information required to perform functions
  • Perform other duties as assigned

Clearances
  • Criminal Justice Fingerprint/Background Clearance.
  • Tuberculosis Skin Test.

Public Health Compliance
  • Proof of COVID vaccination. Exemptions for religious/medical will be reviewed.
  • Must follow safety and health protocols.
