HRL serves a highly diverse population of approximately 6,200 students, the majority of which are undergraduates living in traditional, suite, and apartment-style residence halls on three campuses within the vibrant Northern Virginia area. HRL employs over 170 full-time and graduate staff and over 350 undergraduate student staff. It is dedicated to creating a home that enriches the experience of our students, staff, and faculty.About the Position:StarRez houses all occupancy management which drives the revenues for HRL, while simultaneously operationalizing the processes around housing applications, assignments, billing, communication, and reporting. These processes impact various teams within HRL (Residential Services, Residence Life, Information Technology, and Finance). Due to the nature of the operational and financial scope of HRL, data reporting and financial auditing are a necessary portion of the transparent functioning of the department and accountability to the University. This position ensures accurate and timely auditing of billing and also serves as the gatekeeper for all residential student occupancy reports. The Business Analyst will work collaboratively with departmental, divisional, and university finance personnel to ensure financial accuracy and alignment with University financial regulations.Responsibilities:System and Data Analysis:Work collaboratively with divisional IT staff on growth of the StarRez system as needed;Ensure data integrity within the StarRez system, inclusive of creating reports for validating data;Improve departmental occupancy and financial reporting systems by studying current practices and making recommendations for modifications working toward automation of processes where possible;Verify accurate representation of data transmissions and billing in the StarRez system;Utilize project management principles to monitor progress on requests and work tasks by establishing timelines, milestones, and budget, as well as tracking activity and publishing progress reports;Understand HRL applications and their relationship to business processes;Respond to StarRez user questions and reports of issues to resolution or escalation as needed;Utilize StarRez vendor support and University Life Technology Services to get application support as needed, and keep up to date on changes in software and/or current technology affecting business functions;Develop and continuously update a project list inclusive of timeline and budget for three years out;Complete a system-wide check of information within StarRez for accuracy, and produce a report indicating outliers or areas of concern;Conduct insightful, ad hoc analyses to investigate ongoing or one-time operational issues;Create informative, actionable, and repeatable reporting that highlights relevant business trends and opportunities for improvement;Research system functionality and best practices for setup and design of processes through vendor outreach and other StarRez user institutions; andStay abreast on StarRez changes and regularly attend StarRez conference and training opportunities.Finance:Facilitate monthly revenue reconciliation between multiple databases; ensure signoff by all parties and final filing of applicable documents;Interact with HRL finance team to provide occupancy management data/reporting from StarRez in order to provide accurate financial information and projections;Respond to University auditing requests, and adhere to recommended policy as needed. Serve as the project lead for Agency Risk Management and Internal Control Standards (ARMICS) review and work with necessary partners in Fiscal Services to complete this task;Recommend necessary financial controls by identifying problems and developing improvement procedures;Understand and communicate the financial and operational impact of any proposed financial changes;Perform quality assurance for processes and procedures;Develop and maintain proficiency with multiple Mason financial systems supporting Banner results;Create written documentation of all financial processes related to financial reconciliation auditing and reporting processes;Verify revenue reconciliation meets the standards established by finance team and auditors;Collaborate with HRL finance and summer operations staff to develop financial reporting for summer revenues; andProduce adhoc data/process requested by internal auditors.Occupancy Management:Prepare and generate regular and adhoc reports related to housing occupancy;Provide occupancy forecasting;Prepare, interpret, and present comprehensive analytical and statistical data and reports critical in decision making for HRL; andCreate written documentation of all occupancy management processes.Departmental Duties:Actively support and comply with all University policies, HRL regulations, and departmental vision and goals;Develop and maintain positive working relationships with other University departments (i.e., Student Accounts, Fiscal Services, Cash Office/Treasury Services, University Life, etc.);Perform other duties as assigned by supervisor, the Chief Housing Officer, or divisional leadership;Attend regularly scheduled team and departmental meetings; andBe a strong representative of HRL team with other groups and departments.Required Qualifications:Bachelor's degree in a related field, or an equivalent combination of education and experience;Demonstrated experience working with various digital platforms such as Microsoft Excel and Enterprise systems;Knowledge of financial concepts; demonstrated knowledge of accounting theory and application, specifically the processes around reconciliation and budgeting;Skill in the development and presentation of financial concepts;Skill in effective and respectful interpersonal communication;Ability to translate technology and financial concepts into layman's terms for a broad campus audience; andAbility to thrive in a dynamic environment and expand knowledge base, with flexibility to take on other related duties, and participate in department meetings as needed.Preferred Qualifications:Bachelor's degree in Business, Information Technology, and/or related field.
