Accounting and Administrative Assistant

We are seeking a highly motivated, detail-oriented Accounting Assistant with Administrative proven experience to join our team.  This position will focus in all areas of A/R & A/P and assist our Controller and organization in areas including but not limited to, Accounting, Administration and Operations. This is an excellent opportunity for a professional, dependable and responsible individual.

Responsibilities

Accounts Receivable

  • Generate and submit invoices to clients in construction estimating software and QuickBooks
  • Ensure proper coding to revenue accounts
  • Assist in collections, process FC invoices and monthly statements
  • Draft correspondences for standard past-due accounts and contact delinquent clients to request payment
  • Process credit card payments in QuickBooks
  • Assist in state/county business license renewals and applications
  • Help maintain customer databases, understand client’s payment terms, complete payment applications and lien waiver forms
  • Manage client payment portals
  • Perform A/R reconciliations in construction estimating software and QuickBooks
  • Generate required weekly/monthly excel reports
  • Weekly bank reconciliations
  • Aid in client COI requests
  • Perform additional assigned related A/R tasks

Accounts Payable

  • Verify and enter vendor bills in construction estimating software and QuickBooks
  • Perform A/P reconciliations in construction estimating software and QuickBooks
  • Maintain vendor files are current: COI and W-9 and subcontract agreements
  • Process weekly check runs and keep files organized
  • Point of contact to vendors for payments, completing credit applications, and reviewal of Tibbs’ account to be current and in good standing
  • Data entry supporting duties
  • Assist with monthly credit card expense accounts, statements/reports
  • Generate required weekly/monthly excel reports
  • Perform additional assigned related A/P tasks

Administration

  • Assist with on onboarding and other HR assigned tasks
  • Point of contact for any related requests from employees regarding co. benefits
  • Cross trained in QuickBooks Assisted Payroll to provide backup support
  • Assist and process certified payroll submissions
  • Manages and updates equipment/vehicle asset lists
  • Assist in yearly insurance and workers compensation audits
  • Serve as an additional notary public to Tibbs Paving
  • Assigned administrative duties, record incoming client leads, help monitor estimates email inbox, serve as back up answering phones
  • Aid in technology related questions from staff members
  • Improve and create effective accounting/office processes
  • Provide additional administrative support to the Controller and Operations

Qualifications

  • Bachelor’s degree preferable in an accounting/finance from a recognized college or University
  • Minimum of 5 years proven experience in A/P, A/R and Payroll
  • Proficient in QuickBooks, MS Office
  • Experience in Credit and Collections
  • Knowledge of ProCru and/or construction estimating software a plus
  • Asphalt Paving Industry knowledge a plus
  • Must have verifiable references and pass a drug test
  • Bilingual in English/Spanish is a plus

Job Type:

  • Full Time-Onsite, 9-5 M-F Salary commensurate with experience Benefits include Medical/Dental coverage and 401k and Paid Time off
