Browne Academy has an immediate opening for an Executive Assistant. The Executive Assistant to the Head of School’s primary responsibility is to anticipate and plan in advance for all events that relate to the Head of School.  This position is the initial contact for all visitors on campus and has primary responsibility for the school switchboard.  It is essential that this candidate interact with and serve a variety of constituents, including parents, trustees, students, volunteers, faculty and staff in a professional and courteous manner.  Excellent communication, interpersonal and organizational skills are critical.  Requires significant versatility, attention to detail, and high energy as well as refined organizational skills and the ability to work under pressure.

Areas of Responsibility

Administrative- Head of School

  • Maintain total confidentiality.  
  • Manage and Maintain the Administrative Office
  • Manage registrations for professional conferences and coordination of related travel needs for Head of School and the Administrative Team.
  • Update and maintain Head of School’s calendar and schedule.
  • Process Head’s scheduled meetings and set appointments.  
  • Distribution of all correspondence to faculty, staff, students, and parents that is generated in the Head of School’s office (Communications)
  • Oversee purchasing of recognitions for faculty, staff, and Board. Attend Administrative Council meetings, take and distribute minutes, and coordinate follow-up actions as needed.
  • Enforce deadlines for and collect documents created by Head of School for faculty and staff.
  • Anticipate and coordinate catering orders for school events hosted by Head of School (and others as needed)
  • Assist Division Directors as directed by Head of School Create hiring communications, post openings to online platforms, and participate in interview process. Order all business cards and name tags.

Administrative- School

  • Main switchboard operator
  • Oversee completion and distribution of yearly school calendar in support of the Advancement Office
  • Act as conduit between parents and classroom teachers managing daily changes in carpool, early dismissals, late arrivals, etc.
  • Maintain and submit absence reports.
  • Coordinate picture days and oversee the distribution of yearbooks.
  • Anticipate and support in the coordination of all whole school events as needed; including, but not limited to Graduation, Family and Friends Visit Day, School Pictures, VAIS Accreditation visits, Founder’s Day, receptions, etc.
  • Manage front desk (e.g. respond to emails, greet visitors, and direct as needed)
  • Distribute daily mail.
  • Maintain VAIS Document Box Process event and field trip forms
  • Manage and maintain school information through online organizations including NAIS, VAIS, and AISGW
  • Manage Phone system including internal and external lines and auto attendant messages.
  • Manage and Update Mail room.
  • Carline tags

Advancement Support

  • Donor event planning and implementation with the Director of Advancement
  • Alumni relations including, but not limited to social media presence.
  • Photography and video coordination as it relates to marketing and media.
  • Support in auction planning and organizing as needed.
  • Manage and create content for Browne’s social media.
  • Assist with website maintenance and school wide communications including weekly calendar updates.
  • Assist with the creation and follow up of parent and faculty surveys.
  • Create and distribute thank you letters for annual fund. 
  • Collect and edit alumni notes for Inside Browne

Board Relations

  • Serve as board secretary: take and distribute minutes for full board meetings.
  • Set up all Board related meetings, including catering and communications.
  • Maintain Board of Trustees web page

Qualifications

  • Bachelor’s degree
  • Outstanding interpersonal skills
  • Dedication to a high level of confidentiality
  • Exceptionally capable in both written and oral communication
  • Excellent organizational skills while still exhibiting a high degree of flexibility.
  • Proficiency in data management systems and strong working knowledge of all Microsoft Office programs including Outlook Mail, Word, Excel, and PowerPoint; Google Workplace; willingness and ability to learn additional applications as needed.
  • Strong background in social media or marketing preferred.
  • Proven success at working collaboratively and efficiently on a creative and goal-oriented team.
  • Able to make quick decisions, take initiative, and prioritize tasks.
  • Passionate about the mission and vision of the school
  • Warm and personable with a good sense of humor and considerable patience
  • High-energy and enthusiastic about working in an academic atmosphere.
