The American Society for Biochemistry and Molecular Biology (ASBMB) is an international nonprofit scientific and educational organization. With over 10,000 members, made up of students, researchers, educators, and industry professionals, the ASBMB is one of the largest molecular life science societies in the world.

 

ASBMB is seeking an Administrative Assistant for the Publications department. This individual will provide administrative support for the Society’s Journals portfolio, the director of publications and support projects within the journals’ initiatives.

 

Responsibilities:

 

  •   Administrative Support Processes expense forms and travel reimbursement for editorial board members and associate editors Assists in planning events and meetings for the Publications Committee and the Journals large-scale events, such as Editorial Board meetings (local and remote). Monitors emails for the journals and support. Communicates any relevant issues to appropriate parties. Collects, formats, and maintains Publications Departments procedures. Provides support for the ASBMB Annual Meeting Manages department calendar Schedules meetings and takes minutes Other duties as assigned
  •   Journals’ Associate Editors Board Maintains invitations, renewal letters and other documents Maintains up to date sub-committee lists of associate editors and maintains global email lists with updates and changes
  •   Journal’s Editorial Board Members Maintains documents with terms of service Oversees the JBC Editorial Board nomination, training, renewal and support Maintains usage data records for Editorial Board Members Coordinates monthly EBM Newsletters Sets up EBM Committee meetings and takes minutes to report to the publication’s director Monitors EBM email account
  •   Journal’s Early Career Reviewer Program Maintains documents with terms of service Oversees the JBC ECR nomination, training, renewal and support Maintains usage data records for ECRs Provides new applicants for committee review on a weekly basis Monitors ECR email account
  •   Journal’s Call for Submission Initiatives Maintains documents for call-for-submission author data Monitors submission email inboxes and addresses any issues that arise

 

 

Skills and Qualifications:

 

  • 1 - 3 years of administrative assistant experience preferred Strong writing and verbal communication skills Strong organizational skills and attention to detail Expert customer service and interpersonal skills Ability to handle multiple projects Fast learner and self-motivated Experience using project management software Ability to meet deadlines Ability to work independently and within a team with minimal supervision MS Office skills Available to travel to the ASBMB Annual Meeting Able to work on site in our Rockville, Maryland office (Hybrid: in office Monday, through Wednesday; Work from Home: Thursday and Friday, subject to change)
