Procurement CoordinatorThe George Mason University Office of Advancement and Alumni Relations invites qualified candidates to apply for a part-time Procurement Coordinator position.This part-time position, typically 20 hours per week, provides accounting and clerical support to the Director of Finance and Operations. The Procurement Coordinator will help with answering questions around purchasing, processing expenditures, reconciling accounts, procurement, budgeting, and maintaining the department's purchasing files.George Mason University has a strong institutional commitment to the achievement of excellence and diversity among its faculty and staff, and strongly encourages candidates to apply who will enrich Mason's academic and culturally inclusive environment.Responsibilities:Serves as a customer service representative in the Advancement & Alumni Relations office for all procurement and related inquiries from office personnel;Maintains division-wide GMUF purchases; reconciling expenses on a regular basis;Maintains a division-wide PCard for office use; reconciling expenses on a regular basis;Purchases goods and services using the eVA procurement system; enters eVA confirming orders as necessary, and submits invoices for payment;Reviews and processes all account payable invoices, purchases, and travel requests for University (E&G) and Foundation funds allocated to The Office of Advancement and Alumni Relations;Reviews and processes all GMUF purchases and maintaining records;Processes all vouchers for Central Advancement;Coordinates travel and hotel arrangements for staff conferences;Reconciles State JVs to upload into Foundation Accounts Online (FAO);Reconciles OSP accounts for GMUF;Reconciles regular monthly budget to actuals;Maintains all purchasing and accounts payable paperwork for both the State and Foundation accounts;Serves as point of contact for all questions related to Finance, which includes:Purchasing (eVA, SWAM vendors, state purchase card, contract negotiations);Bank of America Works reconciliation;Accounts Payable (state and foundation, submitting invoices);Travel/Food and Beverage;Journal Vouchers (state and foundation);Reimbursements (state and foundation);Runs regular reports on MicroStrategy to review the Budget to Actuals performance within the Office of Advancement, reconciles activity, and corrects errors.Required Qualifications:Microsoft Office suite applications especially a proficiency in Excel;General office procedures, systems and equipment; and general business practices are required;Comfortable performing work requiring attention to detail; and organizational and multi-tasking skills are required;Ability to work independently with attention to detail, prioritize workload and follow up on all processes;Ability to communicate effectively both orally and in writing;Ability to organize work; multi-task; self-initiate tasks, and bring them to closure;Ability to handle sensitive and confidential information in a timely and accurate manner;Ability to work collaboratively, meet deadlines, anticipate problems, and proactively alert supervisor;Ability to research, investigate, reconcile, and evaluate data are all required; andHigh school diploma or equivalent, such as GED.Preferred Qualifications:Previous work experience handling procurement;Knowledge of Micro-Strategy, Banner Finance, and e-Print administration systems; andKnowledge of Mason policies, procedures, and programs.Schedule: Mon - Fri, hours can be agreed upon, but must be consistent (approx. 20 hrs/week)**Position will start in person and will have the opportunity to do mostly telework depending on the projects at hand.
