As a Management Support Specialist, you will primarily be responsible for procurement and financial processing as well as supporting the Administrative Officer and museum staff in a wide range of other management areas.

In this position, you will:
  • Ensure the effective, prompt, and policy-compliant procurement of goods and services for the museum through use of purchase orders, purchase cards, online travel tools, miscellaneous reimbursement and inter-unit transfer procedures.
  • Prepare and/or review financial documents such as inter-unit reimbursements or service requests, verify complete and correct information and financial coding, sign or submit to AO for signature, and forward to appropriate Smithsonian central office for processing.
  • Record transactions and reconcile financial records by comparing data posted in multiple tracking systems to verify accuracy of entries and monitor funds expenditure.
  • Assist museum staff in preparing procurement and travel documentation, including statements of work, deliverables, payment schedules, allowable travel expenses and assorted supporting documents that are situation dependent, and work with museum staff and central Offices of Contracting and Travel to identify inadequacies and implement more efficient and effective internal administrative processes.

Qualifications

Experience: You qualify for this position if you have one year of specialized experience equivalent to at least the GS-07 level in the Federal Service. For this position Specialized experience is defined as experience reviewing or recording financial transactions and codes, preparing or reviewing purchase orders or contracts according to the Federal Acquisition Regulations or within similar acquisition processes/policies in a museum or similar setting; and preparing reference or training materials on administrative procedures.

Experience refers to paid and unpaid experience, including volunteer work done through National Service programs (e.g., Peace Corps, AmeriCorps) and other organizations (e.g., professional; philanthropic; religious; spiritual; community, student, social). Volunteer work helps build critical competencies, knowledge, and skills and can provide valuable training and experience that translates directly to paid employment. You will receive credit for all qualifying experience, including volunteer experience.

Part-time and/or unpaid experience related to this position will be considered to determine the total number of years and months of experience. Be sure to note the number of paid or unpaid hours worked each week.

Or Education: A Master's or equivalent graduate degree or 2 full years of progressively higher level graduate education leading to such a degree or LL.B. or J.D., if related.
