Job Details
This position was established to provide a wide variety of complex and confidential administrative support to the Chief Student Services Officer and department staff. Such support includes the following array of duties: organizing, manages and overseeing department activities and budget. Prepares various presentations for the department, as requested or, at times, as appears necessary. The position's responsibilities extend to highly confidential and sensitive student matters.
This position reports to the Chief Student Services Officer.
Qualifications
Education: High school diploma required; Bachelor's degree in the job-related area preferred.
Experience: Minimum 3 years of related work experience.
Essential Functions
- Manages the budget for Chief Student Services Officer and Student Services staff, including travel reimbursement, ordering materials and supplies, and other items as requested.
- Coordinates meetings and activities in support of assigned administrative personnel's operational activities.
- Evaluates interactions, situations, and events (e.g., involving other staff, students, parents, the public, etc.) and take appropriate actions and/or direct them to appropriate personnel for resolution.
- Maintains various confidential files and records (manual/computer; confidential/non-confidential) to provide documentation following administrative and legal requirements.
- Develops, disseminates, and maintains standards for department memos, PowerPoints, agendas, project plans, newsletters, flyers, etc.
- Provides guidance and support to the reception position, manages temporary help requests, and maintains relationships with staffing agencies.
- Prepares a wide variety of written materials (e.g., Board Summaries, PowerPoints, reports, memos, letters, financial information, minutes, etc.) to document activities, provide written references, and/or convey information.
- Researches various topics (e.g., current practices, policies, education codes, etc.) to provide information for addressing various administrative requirements.
- Responds to inquiries from internal and external parties (e.g., staff, parents, students, public agencies, etc.) to provide information, facilitate communication among parties, and/or provide direction.
- Serves as a resource to other support staff to provide direction and/or technical support with assignments.
- Oversees and coordinates department events and activities.
- Assists other personnel as may be required to ensure an efficient and effective work environment.
- Performs other duties as assigned by the Chief Student Services Officer.
Clearances:
- Criminal Justice Fingerprint/Background Clearance.
- Tuberculosis Skin Test.
Public Health Compliance
- Proof of COVID vaccination. Exemptions for religious/medical will be reviewed.
- Must follow safety and health protocols.
