Closeout AdministratorAs the Office of Sponsored Programs (OSP) Closeout Administrator you will manage the closeout functions related to externally sponsored grants & contracts, for both non-federal and federal agencies. You will be a key player in ensuring that all fiscal transactions are within budget, compliant with state and federal policies, and create efficient shared tools and processes. As part of the Post Award Administration team in OSP you will interface regularly with other OSP staff, sponsors, department and college research administrators, and faculty. The closeout administrator may also be tasked with other duties and projects as assigned based on strategic initiatives directed by OSP leadership.George Mason University has a strong institutional commitment to the achievement of excellence and diversity among its faculty and staff, and strongly encourages candidates to apply who will enrich Mason's academic and culturally inclusive environment.Responsibilities:Complete the closeout process for Sponsored Awards;Review expired grants to determine closeout suitability based on grant and/or contract requirements;Track status of closeouts and escalate problems as needed;Understand sponsor requirements and ensure grantees closeout process and checklists are appropriately completed in accordance with federal and non-federal guidelines;Create standardized document templates, other correspondence, and prepare and disseminate both individual and mass correspondence for distribution to OSP staff, department and college research administrators, and faculty;Work collaboratively with others within the team, Office of Sponsored Programs staff, principal investigators and college and department administrators to obtain information necessary for closeout and other tasks;Conduct analysis and make recommendations to improve the overall effectiveness and efficiency of operations including quality assurance processes and modifications to improve the effectiveness of internal work processes;Ability to use existing data systems to monitor the closeout process;Understand the organizational policies and procedures for accuracy of solutions and deliverables to client;Timely preparation of monthly closeout emails;Assist with external agency and financial audits as needed; andAssist with other duties as assigned.Required Qualifications:Demonstrated experience in accounting or related field (generally 3+ years);Bachelor's degree in Business administration, Accounting, or related field; or equivalent combination of education and related experience;Strong attention to detail and accuracy for reconciliation of accounts;Strong skills in Excel and other Microsoft based software applications, problem solving, interpersonal and communication skills;Well organized with the ability to manage multiple priorities concurrently;Self-starter able to manage tasks with little supervision;Demonstrated ability to aggregate, analyze and present data gathered from multiple sources; andDemonstrated understanding of Uniform Guidance requirements as they pertain to closeout activities.Preferred Qualifications:Knowledge and experience with sponsored project accounting is preferred;Experience with grant and contract closeout at an institute of higher education;Proficient in Ellucian Banner financial system; andWork experience in a higher education environment.* Applicant must be: (i) a citizen of the United States; (ii) a person who is a lawful permanent resident of the United States (a "Green Card" holder); (iii) a person who is a "protected individual" as defined by 8 U.S.C. 1324b(a)(3); or (iv) a person who is otherwise able to become generally eligible to receive unclassified technical data pursuant to the International Traffic in Arms Regulations.
