Job Announcement

The Fairfax County Health Department is a progressive public health leader serving 1.2 million residents from diverse ethnic, cultural and economic backgrounds. Provides day to day administrative support for operations within the Division of Environmental Health. Responsible for accurate data entry and database maintenance of systems that support program services. Maintains and archives records. Prepares and types of various reports, tables, memoranda, letters, and meeting minutes; responds to inquiries and requests for information. Serves as the receptionist including answering calls and greeting visitors. Schedules appointments and processes/ distributes mail. Works with the Health Department administrative assistant team and performs other general office duties as assigned.

Note: The assigned functional areas of the position include general office administration, receptionist/public contact, word processing, finance and information systems/software.

Ability to perform inquiries (e.g., check personnel data) in Human Capital Management Enterprise Resource Planning system.

Word Processing/Typing
Basic skills in the use of Microsoft Word.

PC Skills
Basic skills in the use of applicable Microsoft software.

MINIMUM QUALIFICATIONS:
Any combination of education, experience and training equivalent to high school graduation and one year of experience providing administrative support in the assigned functional area(s).

CERTIFICATES AND LICENSES REQUIRED:
Cardiopulmonary Resuscitation - CPR (Required within 60 days)
AED (Required within 60 days)

NECESSARY SPECIAL REQUIREMENTS:
The appointee to this position will be required to complete a criminal background check and a Child Protective Services Registry check to the satisfaction of the employer.

All newly hired employees are required to be fully vaccinated against COVID-19 (two weeks after the last required dose) as a condition of employment or obtain approval of a medical or religious exemption prior to their start date. Proof of an exemption or vaccination status will be required during the pre-employment onboarding process. New employees who obtain an exemption from the vaccine mandate for medical or sincerely held religious beliefs may be subject to a weekly testing requirement. Vaccinated employees and employees with a medical or religious exemption will complete the attestation online on their first day of employment or shortly thereafter.

PREFERRED QUALIFICATIONS:

  • Two or more years of experience providing administrative support in a fast-paced office environment or health care setting.
  • Experience working in an environment supporting public health or land development activities highly desired.
  • Experience with data entry, database maintenance, filing systems and scheduling. Knowledge of Health Department practices, policies, and procedures; experience working with Fairfax County Inspection Database Online a plus.
  • Fiscal responsibilities and FOIA experience preferred.
  • Must have a high level of integrity and discretion in handling confidential information.
  • Excellent customer service skills with the ability to interact in a friendly, service-oriented and professional manner with internal and external customers.
  • Position requires the candidate to work independently and in a team environment, be proactive, exercise good judgment, and use critical thinking skills.
  • Ideal candidate is highly organized, demonstrates exceptional interpersonal skills and ability to effectively communicate, both orally and in writing.
  • Must have the ability to manage multiple tasks simultaneously.
  • Proficiency in the use of Microsoft Office 365 (Outlook, Word, Excel) and other software applications.

PHYSICAL REQUIREMENTS:
Employee is required to walk, stand, sit, bend, kneel, climb stairs and carry equipment up to 25 pounds in weight as required for the position. Uses hands to grasp, handle or feel; Visual acuity is required to read data on a computer monitor; Ability to operate keyboard driven equipment. Position frequently communicates and must be able to exchange accurate information with others verbally and in writing. All duties performed with or without reasonable accommodations.
