What You'll Get to Do:
  • Works under the direction of a Supervisory Legal Assistant.
  • Examines, prepares, and processes a variety of technical legal documents which are characteristically voluminous and complex in format.
  • Reviews incoming material and determines the need for assembly and preparation of a variety of legal documents, e.g., complaints, motions, orders, answers, pleadings, and subpoenas.
  • Obtains needed information from files, law enforcement agencies, or other sources, and submits completed legal documents to the appropriate AUSA or, in limited cases, directly to the court. In preparation of documents, considers the nature and the status of the case involved.
  • With limited instructions from the AUSA, prepares such legal actions as indictments, criminal complaints, search warrants, applications, notices, affidavits, summonses, subpoenas, and other documents as necessary.
  • Completes variable aspects of recurring legal documents in conformance with the rules governing their style and format.
  • Provides assistance during trial preparation by compiling trial notebooks, assembling jury instructions, compiling witness and exhibit lists, and any other trial-related tasks that may be deemed necessary.
  • Using a variety of office software, provides automated litigation assistance to attorneys by preparing charts and other specialized materials relating to trial preparation and presentations.
  • Inputs and dockets case data into an automated case management system. • Arranges travel by preparing itinerary and securing transportation and hotel reservations.
  • Prepares travel authorizations and vouchers for traveler signature and Government approval.
  • Maintains calendar of assigned active cases.
  • Tracks filing, hearing, and trial dates, and scheduling conferences and interviews.
  • Maintains pending dates and deadlines for ongoing cases and informs the AUSA of upcoming deadlines.
  • Maintains calendar(s) of the AUSA(s), scheduling appointments, interviews, and conferences, and provides reminders of commitments and court appearances.
  • Provides Word processing and data entry/retrieval.
  • Answers inquiries regarding case related information as maintained in the database.
  • Receives telephone calls and visitors.
  • Receives, reviews, and distributes incoming FAXs, mail and packages.
  • Ensures mail received from other agencies is appropriately screened and distributed.
  • Ensures daily incoming mail is delivered and is processed accordingly.
  • Ensures daily outgoing mail is available for pickup by mail carrier at the end of the day.
  • Supports meeting set up/break down.
  • Operate copier, fax, scanner.
  • Types routine forms, letters.
  • Assists with organizing, purging and closing of case files; files in Records Room.
  • Performs administrative tasks and small projects such as updating directories, data entry, filing, document development/preparation, and assisting the Records Coordinator with shipments to the Federal Records Center.
  • Serves as backup to reception on as needed basis.
  • Duties to include greeting visitors, answers phones, directing calls to appropriate division.

More About the Role:
  • In addition to performing functions of Document Management Technician, as described below, performs moderately complex litigation support tasks, including, for example, detailed review and analysis of case materials in a broad range of subject matters, such as financial records, health care materials, and other litigation files; detailed indexing of case files; drafting procedures for accomplishing litigation support assignments; document acquisition related tasks; and conducting database searches.
  • Proofreads and edits deliverable products.
  • Sometimes serves as "team leader" for larger group of Document Management Technicians and clerical support staff.
  • Often works with minimal supervision. Reports to Task Supervisor or Project Supervisor.

You'll Bring These Qualifications:
  • One year of experience on major litigation support projects or undergraduate degree.
  • Certain assignments may require experience or substantial undergraduate coursework in, for example, finance/accounting, health care, or substantial experience in the legal environment or in information technology.
  • Demonstrated ability to work independently in a team environment.
  • Must have excellent writing skills and oral communication capabilities.
  • Requires hands-on familiarity with the Government's office and network environment, including but not limited to, data processing environments, including office automation networks, PC-based databases and other applications, internet and server-based databases and other applications, such as Oracle, Relativity or other document review platform, Trial Director, etc.
  • Should be a knowledgeable user of the Government's office and network environment, including but not limited to, word processing, spreadsheet, imaging, and hardware systems.

These Qualifications Would be Nice to Have:
  • Experience with DOJ office automation environments extremely helpful.
  • Supervisory experience helpful.
  • Undergraduate degree strongly preferred.
