Job Description:

What You'll Get to Do:
  • The Executive Assistant will provide high-level administrative support directly to the Product Manager, Deputy Product Manager, and other members of the team.
  • Gathers, proofread/review correspondence for accuracy, completeness, and for the leadership's signature, including letters, memoranda, and other information on various topics and issues. Ensure all written communications and presentations adhere to DoD and Army regulations guidelines.
  • Tasks such as scheduling; reviewing, prioritizing and responding to emails; answering and returning phone calls; organizing documents; maintaining records; taking notes at meetings and any other administrative tasks that help the executive perform.
  • Track internal and external tasks for assigned action officers until complete. Provide Product Manager and/Deputy Product Manager status update on these items.
  • Prepare visit requests and coordinate with Security manager to ensure proper paperwork is completed.
  • Prepare Word, Excel, PowerPoint presentations, agendas, reports, special projects and other documents in support of objectives for the organization.
  • Assist in preparing and managing presentations and events.
  • Manages spreadsheets, databases, and online tools (e.g., SharePoint/MS TEAMs) and provides summary reports of essential information on demand.
  • Performs office tasks ordering office supplies and client material supplies, keeping and managing an inventory.
  • Assist with travel and accommodations.

You'll Bring These Qualifications:
  • Active DOD Secret security clearance.
  • Bachelor's Degree and 3 years of experience. No degree and 6 years of work experience may be substituted for the bachelor's degree.
  • Have at least 5 years of executive assistant, administrative, and/or clerical experience.
  • Ability to operate general office equipment (laptop, computer, projector, control suite, teleconference phone, and video teleconference center).
  • Possesses technical competency with general office equipment (laptop, computer, projector, control suite, teleconference phone, and video teleconference center).
  • Proficient in the use of MS Office applications (e.g., Excel, PowerPoint, Word, SharePoint, Teams, and Project.).
  • Experienced with MS SharePoint and Teams capabilities, to include organization of files.
  • Understanding of standard operating procedures, calendar management, and scheduling is highly desired.
  • Ability to work with customer/clients at various seniority levels.
  • Possess excellent communications skills (verbal and written).
  • Able to work multiple tasks efficiently and simultaneously.
  • Shall possess interpersonal and learning skills.

These Qualifications Would be Nice to Have:
  • Experience with the Defense Travel System (DTS).
  • Experience supporting US Army project offices is desired.
