Position Description

The Institute currently seeks a Program Assistant to join our Global Events team. This staff member will be responsible for a wide range of duties including, but not limited to, the following:

  • Assist in the creation of events in the membership database and set up registration rates including invoices and payment tracking for all fee-based events, registration confirmation emails, campaign automations, event webpage templates, visa invitation letters, as well as other email and letter templates to support the registration and preparation for online and in-person events.
  • Coordinate with marketing and membership teams on development of marketing lists as well as generate reports that track responses of invitees and attendance.
  • Communicate with members via phone and email; track registrations in Protech and confirm/deny registrations as they come in online and ensure event confirmation/denial emails are sent out to individuals requesting registration within 48 hours of receipt.
  • Provide support for all online events (screen sharing, spotlighting, music, etc.).
  • Assist in the logistical planning/preparation related to all events (in-person and online) as needed including, staff training and coordination, registration equipment and supplies.
  • Serve as main point of contact with Managing Director for all event requests with responsibility to maintain internal events calendar and event team outlook calendar holds. 

Requirements

Applicants should have a college degree and at least one year of work-related experience.  Strong command of the English language and excellent written and oral communication skills. Personal attributes such as a high degree of professionalism, strong attention to detail, organization, and the ability to communicate and act with tact, judgment, and energy are also required. Extensive experience with Microsoft Office and database software. Some domestic and/or international travel may be required.
