Job Announcement

The Fairfax County Sheriff's Office is committed to providing world-class public safety with honor, courage, and a dedication to service. The Fairfax County Sheriff's Office is among the largest Sheriff's Office in Virginia with over 600 professional men and women. We serve a population of over 1.1 million citizens in one of the most diverse counties in the nation. This position manages and maintains the daily influx of protective orders, from the three Fairfax courts as well as other jurisdictions and states that will include: orders sent via fax machine, walked in by court clerks and the daily mail. This will entail ensuring that all documents are complete and all necessary information is present for service by the Civil Enforcement deputies and for the VCIN/NCIC entry. Will make contact with the deputy for service of each order and may be required to fax the order to a locale close to him/her so that the order can be retrieved for service. Will be responsible for the scan of each order into a Laserfiche file so that it may be retrieved by the booking desk if necessary. May be required to remain in the office after hours to process any late arriving protective orders. Accurately maintain all protective order files and successfully participate with audits conducted by the Virginia State Police.

General Financial Duties
Uses spreadsheets or databases to organize information and produce standard reports;
Prepares a variety of complex disbursement forms (e.g., check requests, travel forms, cash sheets, and journal entries) for routing and approval;
May approve some disbursement forms;
Compiles and maintains monthly, quarterly, semi-annual, and annual totals, reports, and financial statements;
Explains fiscal rules and procedures to employees to ensure uniform application.

Fiscal Administration
Sets up accounts through corporate systems;
Reconciles ledgers;
Prepares status reports;
Gathers data for use by others in preparing budget;
Prepares transfer vouchers and interfund billing;
Monitors external accounts for discrepancies.

Accounting
Prepares wide variety of accounting forms;
Reconciles daily receipts or accounts receivable/payable;
Identifies discrepancies and makes corrections;
Collects required documents;
Prepares and authorizes expense vouchers and/or invoices within limited authorization levels.

Purchasing
Verifies requests for goods and services against county contracts and funding sources;

Ensures appropriate routing and approval of purchase requests.

Scheduling & Coordinating for Others
Maintains calendar(s);
Schedules meetings;

Set up schedules for internal administrative staff to insure that they are available to meet changing work needs.

Processes pay adjustments;
Transmits on-line T&As;
Regularly inputs routine Human Capital Management Enterprise Resource Planning system entries;
Performs payroll functions (e.g., internal collection of time sheets, verify T&A entries, verify leave slips);
Trains new employees on how to do on-line time.

Personnel
Prepares and verifies completeness/accuracy of forms/documents (e.g., personnel requisitions, PARS, PCFs);
Provides basic new employee benefits information;
Explains routine personnel policies and procedures;
Gathers information (e.g., salary range, class specifications, and merit adjustments) from HR website or other county sources for supervisor/management;
Instructs employees in proper completion of routine documents (e.g., insurance enrollment forms).

Employment Standards

MINIMUM QUALIFICATIONS:
Any combination of education, experience and training equivalent to high school graduation and two years of experience providing administrative support in the assigned functional area(s).

PREFERRED QUALIFICATIONS:
Must obtain VCIN (Virginia Criminal Information Network) certification within 60 days after the initial appointment. Skilled in Microsoft Office applications (Outlook and Word). Excellent customer service skills. Must have excellent work ethic and be well organized. Must be able to adhere to strict deadlines, while completing a medium to high volume of transactions. Ability to function both independently and in a team environment. Experience in a law enforcement or military environment preferred. Experience with Civil Law process. Ability to obtain Virginia State Notary within 3 months of appointment.

CERTIFICATES AND LICENSES REQUIRED:
  • Notary Public-Required within 3 months
  • VCIN - VA Criminal Information Network (Required within 3 months)

NECESSARY SPECIAL REQUIREMENTS:
The appointee to this position will be required to complete a criminal background check, credit check, polygraph exam, and driver's record check to the satisfaction of the employer.

PHYSICAL REQUIREMENTS:
Duties are primarily sedentary. Performed in a normal office environment. Must be able to enter data into a computer manipulate and retrieve it. All duties may be performed with or without reasonable accommodations.
