Essential Functions
- Supports the Office of EL Services in providing administrative, procurement, budget and finance-related assistance with operating and grant budgets.
- Initiates, reviews, and monitors all purchases for the Office of EL Services, complies with procurement card policies and procedures, and ensures compliance with budget limits and correct financial reporting.
- Monitors account balances and financial activity performs budget transfers if required, and runs operating and grant budget reports.
- Maintains appropriate audit trail of all financial transactions.
- Ensures timely processing of receivable and payable documents.
- Processes and submits supplemental, intermittent, and stipend payroll for registration temps and seasonal assessors every pay period.
- Performs administrative functions, including maintaining inventories of supplies and materials for the purpose of ensuring availability in the Office of EL Services and organizing and processing multiple travel arrangements for school-based and central office personnel.
- Communicates regularly with school-based personnel and central office finance personnel regarding financial management, compliance with federal grant requirements, and other areas relevant to the Office of EL Services.
- Maintains a variety of files and records (manual and electronic) for the purpose of providing documentation in accordance with administrative and legal requirements.
- Performs record keeping (confidential and non-confidential) and general and program-specific clerical functions (e.g., scheduling,
copying, etc.) for the purpose of supporting the Executive Director of the Office of EL Services and business-related tasks in the Office of EL Office Services. - Responds to inquiries from a variety of internal and external parties (e.g., staff, principals, teachers, parents, public agencies, etc.) for the purpose of providing information, facilitating communication, and/or providing direction.
- Utilizes various technology to perform required duties, including financial management systems, databases, and word processing programs.
- Coordinates a variety of activities and performs other related duties as assigned for the purpose of ensuring the efficient and effective functioning of the Office of EL Services, including supporting and interacting with families who are registering students for school who speak a language other than English.
