Operations Support Specialist, Advancement & Alumni RelationsThe George Mason University Office of Advancement and Alumni Relations invites qualified candidates to apply for a full-time Operations Support Specialist position. The University Advancement division is a comprehensive development and alumni relations enterprise with a staff complement of approximately 135 full-time employees. Functional units within Advancement include development/fundraising, alumni relations, stewardship and donor relations, advancement communications, special events, gift processing, research, prospect management, gift planning, corporate and foundation relations, information systems and management, and infrastructure services.Advancement's mission is to build strong, lifelong relationships with George Mason University's alumni and constituents, while matching their philanthropic interests with the university's aspirations and priorities. The position is primarily responsible for being the first point of contact for the Office of Advancement & GMU Foundation, Inc.This position is responsible for managing the day-to-day administrative and organizational activities. This position provides a full range of administrative and logistic support and coordination of activities, meetings, and events to further advancement and alumni relations, goals, and objectives. The position professionally represents the Advancement Office to all constituents; provides administrative support to the Operations team efficiently and effectively in a fast-paced environment subject to multiple demands and changing conditions to support the achievement.Responsibilities:Serves as a professional first point of contact via phone, e-mail, or walk-ins;Provides general organization/upkeep of the office;Researches products for the office (executive gifts, general donor giveaways, office supplies, and more);Gets quotes for purchases for the Associate Director of Operations review;Provides backup on division-wide PCard purchases (PCard, eVA procurement, GMUF); reconcile expenses regularly;Assists with the administrative tasks associated with the onboarding of new employees within the division;Coordinates advancement and alumni relations-related events, trainings, meetings, and activities; and provides logistical support in the execution of these activities; works closely with multiple offices to coordinate activities and programs;Helps plan and set up events for all staff engagement;Serve as the unit safety liaison; andProvides backup to recruitment and onboarding.Required Qualifications:Associate's degree in related field, or equivalent combination of education and related experience;Excellent verbal and written communication skills with the ability to listen and express ideas and thoughts effectively;Skill in providing effective and respectful customer service;Ability to interact courteously with a wide range of constituencies in person, via telephone, email, and in writing;High level of integrity, solid judgment, and the ability to both self-initiate and ask for guidance as needed;Demonstrated ability to manage multiple priorities, follow through on projects and be proactive and solution-oriented;Ability to work collaboratively as part of a small, highly efficient team;Ability to handle frequent interruptions and a fast-paced work environment;Commitment to adopting best practices and operational efficiency;A desire to continuously learn with a preferred interest in garnering fundraising experience;Knowledge of Windows, Microsoft Office software, web browsers, and email. Working knowledge of donor database, contact management, and tracking system;Excellent Microsoft Outlook calendaring knowledge and experience;Requires an understanding of the offices, departments, and the organization. An understanding of the priorities of the University as a whole;Ability to handle highly personal information and maintain confidentiality; andFamiliarity with Affinaquest Salesforce (or similar relational database).Preferred Qualifications:Bachelor's degree preferred;Several (2-5 preferred) years of experience working in an administrative capacity; andExperience in higher education or nonprofit, preferred.
