Assistant Director Event Operations The George Mason University Student Centers seeks applications for the Assistant Director Event Operations position. This position will work on the Fairfax Campus and report to the Associate Director, SC Operations and Event Services, Student Centers.George Mason University has a strong institutional commitment to the achievement of excellence and diversity among its faculty and staff, and strongly encourages candidates to apply who will enrich Mason's academic and culturally inclusive environment. Responsibilities:Responsible for direct supervision of three full-time staff (3 Operations Supervisors) and 2-5 student wage (coordination assistants) as well as indirect supervision of ten additional full-time staff (3 Operation Leads and 7 Operations Staff) and approximately fifty wage/student wage employees. Responsible for supervising and mentoring (both direct and indirect reports), evaluating, hiring, and scheduling staff in areas of responsibility;Ensures excellent customer services are provided for all events in Student Centers managed venues in a professional and timely manner (approximately 21,000 plus events supported annually). Support includes all aspects of event support including but not limited to room layouts, building/venue access, audio, visual support, policy enforcement, customer service, and on-call support;Responsible to ensure logistic information is properly scheduled in a timely manner for upcoming events. Work closely with University Events and to ensure all information is known and entered properly into the University Scheduling system for events within Student Centers managed facilities and surrounding plazas. Ensure resources and venue resources are accurate across university event software platforms and event databases are accurate and consistent, including but not limited to, rental rates, capacities, in-house systems, and layouts, web pages, marketing information;Serves as the department's event operations administrator, Student Centers representative for university event related committees regarding traditional and major events. Advise, coordinate, and ensure event clients receive superior customer support. Collaborate with clients directly/indirectly to determine their needs/expectations of their activity and adapting event ensuring it falls within university policy, procedures, guidelines, and available resources;Responsible for the Pre and Post Client Engagement and Logistics as needed to have accurate information for the events team; service delivery assessment, KPI's;Oversee operational walkthroughs and space evaluations. Ensure all public spaces within Student Centers facilities and surrounding plazas have proper furnishings (quantity, aesthetically pleasing, type, …). Create replacement/maintenance plans for all public and event specific furnishings and supported equipment. Maintain current inventory of all in-house event and public venue furnishings; andIn partnership with Associate Director and Assistant Director of Production ensure unit goals are met; assist in crafting direction and future initiatives. Foster relationships with academic departments regarding opportunities of student staff and academic experience being combined.Required Qualifications:Bachelor's degree in a related field or equivalent combination of education and related experience;Experience supervising staff in the event industry (conference facilities, theater, concerts and touring, convention centers and other event facilities), preferably in a university setting (generally 3-5 years or more preferred);Experience with personnel recruitment, employee scheduling, timesheet approval, employee development planning and training, and experience working with budgets is preferred;Detailed knowledge of event support operations (room configurations and set ups, in house systems, staging, pipe and drape);Knowledge of all aspects of event support including staffing and resource requirements and best operational practices for all shifts;Knowledge of basic accounting principles, billing software, and event planning;Skill in the use of computers;Skill in effective communication; ability to communicate respectfully with staff, patrons, and colleagues;Ability to provide effective supervision of both professional staff and college students in all aspects of event support and delivery; operate effectively as a member of a support or instructional team;Ability to develop a unit wide training program, curriculum design, execution, and post-training assessments;Ability to recruit, train, and supervise full-time, part-time, and student wage staff;Ability to think creatively, prioritize multiple responsibilities simultaneously and meet competing deadlines;Valid Driver's License. This position requires operating a state vehicle on occasion for equipment delivery/event support in Fairfax and other Mason campuses; Must currently possess an appropriate, active, valid motor vehicle operator's license that meets all of GMU's requirements for operating state vehicles and equipment under Mason's Vehicle Use Policy 1411 https://universitypolicy.gmu.edu/policies/vehicle-use/.
