Administrative Associate, Executive DevelopmentThe George Mason University, School of Business invites applications for the position of Administrative Associate, Executive Development. This position will provide administrative support for an expanding and dynamic Executive Development team as well as reception for 9900 Main Street offices. The primary focus is to perform the multiple necessary administrative tasks that will assist the team in delivering successful non-credit open enrollment and custom executive development programs as well as creating a welcoming environment for guests and staff at 9900 Main Street. Washington, D.C. is ranked the 30th most racially and ethnically diverse city nationally amongst cities with a population of at least 300,000 people according to the U.S. News & World Report 2018 Diversity Ranking.Responsibilities:Administrative Associate, Executive Development has responsibilities in the following areas:Receptionist/Office AdministratorMaintain a welcoming, professional, and clean reception area, conference spaces, and kitchen;Serve as the first point of contact for the 9900 Main Street office location;Convey accurate information to clients, participants, and stakeholders or direct them to the correct person for additional information;Accept and sort mail and deliveries to the 9900 Main Street office location;Answer and direct calls to the main office phone;Communicate with 9900 Main Street Office staff via Listserve;Submit work orders for office suite needs; andKeep the storage area organized.Administrative SupportProvide high-level, timely and accurate support to the Executive Development Team in the School of Business and assist with administration, communication, operations, and department initiatives;Create and send communications as directed;Prepare reports, correspondence, and other written materials as directed;Assist with compiling program materials, printing, and other program related administrative tasks as needed;Purchase office, program supplies using p-card and eVA;Coordinate with Program Coordinator to purchase catering;Coordinate with budget office to process foundation requests, reimbursements, and travel requests;Maintain records for all transactions; andAttend trainings as necessary to support the administrative activities of the department.Special ProjectsAssist and support special projects as needed to support the expansion and direction of the Executive Development mission.Required Qualifications:Bachelor's degree or equivalent combination of relevant education and experience;Experience in providing administrative support in an academic or business environment;Experience in handling varying levels of customer demands;Experience in providing administrative and fiscal support for complex projects;Experience working in an office or business environment;Knowledge of general business processes and procedures;Skill in the use of computers and computer software such as Microsoft Office Suite, electronic calendaring, and email;Demonstrated ability to work effectively in a dynamic environment;Ability to organize and manage complex administrative processes;Ability to work with multiple constituents;Ability to problem solve and think quickly under changing circumstances;Ability to work independently and to complete multiple tasks within tight deadlines;Skill in providing customer service;Skill in effective verbal, written, and interpersonal communication;Skill in organization and time management;Ability to learn web-based database platforms and applications such as eVA and Chrome River;Ability to work effectively as a key member of an administrative support team in a dynamic, fast-paced, demanding environment with frequently changing priorities;Ability to handle matters with discretion and maintain confidentiality in a highly visible office; andAbility to occasionally lift and transport books, program materials, and office supplies.
