Executive Assistant sought for health care not-for-profit whose mission is to help drive positive health outcomes for Medicaid enrollees, their families, and communities through the development, implementation, and diffusion of innovative solutions.

In a vitally important role in the organization, you will be the talent that makes sure all the moving parts of the day-to-day operation are working efficiently.

This role is primarily remote - you'll work in person a few days a month to attend board meetings, etc.

Duties & Responsibilities:

In this position you will on a day-to-day basis organize, manage, and support the logistical needs for meetings by drafting agendas, distribute meeting materials, take meeting minutes, and facilitate post-meeting activities; will coordinate with team-mates and external stakeholders to schedule and prioritize meeting requests; will be the scheduling go-to for all team meetings and will provide agendas, supporting documents and the tracking of action items; write and distribute emails, correspondence memos, letters and forms; when an employee on or off-boards, you'll facilitate the process; will be point for managing all board meeting logistics; will update and maintain all office policies and procedures; manage office supplies; manage executive staff invoices and generate expense reports for reimbursement; coordinate and book executive staff travel and create itineraries; assist in the selection of prospective vendors and for the purchase of equipment and services by providing research and insight; organize and monitor grants and contact management activities to include assisting the team with requests for proposals, annual reports, expense tracking and funder requests; keep track of and manage hardware, software and licensures; respond to inquiries; manage all aspects of the organization's services by always keeping an eye on the future and anticipating what the organization's needs will be, and take on duties as you identify the need and as are assigned.

Qualifications:

Previous executive support experience: non-profit board experience preferred; excellent writing and editing skills; very organized; high degree of professionalism and experience working with diverse groups of people.

Technical Skills:

High proficiency with the complete Microsoft Office suite (e.g., Word, Excel, Outlook, and PowerPoint) and comfortable and eager to learn new computer software and web skills; ability to maintain daily work flow while working on multiple tasks; flexibility and ability to consistently meet deadlines; ability to effectively work with and support staff that are teleworkers; ability to hold absolute confidentiality and discretion regarding privileged and sensitive information, and comfortable with medical and research language.
