Under the supervision of the Management Analyst II of the Office of the County Executive (OCE), this position:
  • Requires the ability to build and maintain effective working relationships with internal and external stakeholders, balance priorities, maintain confidentiality, identify possible solutions to business problems, and quickly gain knowledge of County operations;
  • Provides office management and scheduling assistance to the County Executive’s Senior Management Team, the Admin Team, and to the Shared Support Lead;
  • Plans travel for the Executive Team, to include scheduling transportation, hotels, and event registration as well as compiling and submitting travel documents in accordance with County policies and procedures;
  • Assists with financial processing, accounts payable, journal entries, and cost distributions;
  • Assists with administrative duties supporting the Labor Relations Administrator;
  • Creates and maintains filing systems for the County Executive and the Labor Relations Administrator; and
  • Provides support for the office reception area.
The assigned functional areas of this position are general administrative support, fiscal administration, accounting and purchasing.

Note: Telework is not available for this position.

Schedule: Scheduling flexibility is imperative. Standard hours may include weekdays, evenings and weekends.

Salary: The selected applicant's starting hourly rate will be in the minimum to midpoint range ($23.8108 - $31.7475) of the advertised compensation range. Promotional rules apply for current Fairfax County Government and Fairfax County Public Schools employees.

Required Knowledge Skills and Abilities

Knowledge of county policies within functional area of responsibility. This may include knowledge of an outside institution, dissimilar operational unit within the county or the basic principles and methods of a professional field.

Executive Assistance
Thorough knowledge of the executive/work unit head's program/area and of county administration and organization.
Ability to maintain confidentiality and be sensitive to political issues.
Knowledge and sensitivity to issues, priorities, protocol, etc.

Math Skills
Basic math skills.

PC Skills
Intermediate skills in the use of applicable Microsoft Office Suite software;
Intermediate skills in the use of agency specific software applications.

Ability to communicate well through written and oral means;
Ability to speak in front of a group.

Information Abilities
Ability to gather, integrate, and analyze complex data.

Interpersonal Abilities
Ability to establish and maintain effective working relationships with both external and internal contacts.

Purchasing and Accounting
Ability to perform data entry into Purchasing/Logistics Enterprise Resource Planning systems and/or Financial Enterprise Resource Planning systems in at least eight functions.

Personnel and Payroll
Ability to perform all human Capital Management Enterprise Resource Planning system functions.

Employment Standards

Any combination of education, experience, and training equivalent to the following:

Any combination of education, experience and training equivalent to high school graduation and four years of experience providing administrative support in the assigned functional area(s).
The preferred candidate will have three or more years of experience providing fiscal and/or administrative support in a public sector setting. Additionally, the preferred candidate will have:
  • Knowledge of Basic Accounting Principles and procurement practices, policies, and procedures.
  • Experience with database maintenance.
  • A high level of integrity and discretion in handling confidential information. Excellent customer service skills with the ability to interact in a friendly, service-oriented, and professional manner with internal and external customers.

  • All newly hired employees are required to be fully vaccinated against COVID-19 (two weeks after the last required dose) as a condition of employment or obtain approval of a medical or religious exemption prior to their start date. Proof of an exemption or vaccination status will be required during the pre-employment onboarding process. New employees who obtain an exemption from the vaccine mandate for medical or sincerely held religious beliefs may be subject to a weekly testing requirement.   • The appointee to the position will be required to complete a criminal background check to the satisfaction of the employer.

Duties are generally sedentary; however there is a need for mobility when coordinating and delivering messages/faxes/copies to staff, escorting people to meetings, and setting up meetings. All duties performed with or without reasonable accommodations.

Panel interview and may include a practical exercise.
