Summary

The Program Assistant will assist, identify, analyze, update, support, schedule, organize, maintain, and manage for the contract to provide support across all programmatic and technical offices within the USAID Middle East Bureau, as assigned.

Responsibilities
  • Plan, coordinate, and perform secretarial and administrative functions as needed, to include:
  • Maintain calendars
  • Schedule meetings
  • Maintain files
  • Handle mail and correspondence
  • Program document preparation
  • Presentations
  • Escort visitors
  • Prepare travel-related documentation
  • Make travel arrangements for the ME Bureau Front Office staff, as assigned
  • Coordinate correspondence with the offices in the ME bureau and the missions when necessary.
  • Set up bi-weekly conference calls with the ME Bureau missions, offices, and regional platforms.
  • Provide records maintenance and other duties as assigned related to area(s) of responsibility.
  • Manage control and filing/library maintenance.
  • Maintain supplies for the front office, proactively restocking items that may be in short supply or out of stock.
  • Act as the main time keeper for the bureau, ensuring all time cards are processed on time coordinating with supervisors to ensure their staff timecards have been verified.
  • Work with the Administrative Management Services (AMS) office to ensure IT equipment is functioning properly or updated as needed.
  • Work with AMS to ensure all other office equipment and furniture is functioning properly, clean, and presentable.
  • Prepare program/project tracking, reports, and success stories.
  • Support USAID liaison and coordination efforts with other donors, NGOs, civil society groups, government officials, and other actors.
  • Provide technical and program related conference and event planning.
  • Serve as logistical backstop to staff, including TDY staff, for establishing meeting schedules and securing workspace, arranging electronic support, and related items.
  • Assist the Special Assistant as needed and appropriate.
  • Provide Washington-based backstop, limited field support, and general administrative support, as needed.
  • Other duties as assigned

Qualifications
  • Bachelor's degree preferred
  • 1+ years of experience or the equivalent combination of education and professional experience
  • Interim clearance required
  • Secret clearance preferred
  • The position requires a COVID vaccination or an approved accommodation/exemption for a disability/medical condition or religious belief

Knowledge, Skills and Abilities
  • Proficiency in the use of Microsoft Office, internet, and e-mail applications.
  • Experience in the use of database applications is preferred.
  • Ability to communicate effectively written and verbally.
  • Ability to travel throughout North Africa and the Middle East, as appropriate and approved.
