General Summary Support all functional areas of Human Resources. Interface directly with Vice President of Human Resources and Director of Human Resources Business Partner to ensure consistency in Human Resources practices. Interact daily with all levels of employee and management. Responsible for all benefit administration. This position will be based in Washington DC Major Duties and Responsibilities HRIS Support Support employees and management in the use of Paycom on all HR practices to include but not limited to: Talent Acquisition Onboarding Position Management Separations Manage electronic personnel files and archive prior year records. Maintain and manage offsite files annual audit. Assist with exit paperwork, including auditing terminated employee folders and scanning/verifying online archive system. Coordinate employee exit process. Work closely with payroll department to ensure integrity of information held in all records, including Human Resources files and automated Paycom system. Benefits Administrator Responsibilities Process Human Resources accounts payable for benefit vendor billings. Serve as a contact in the benefit audit process. Review and approve employee benefit elections and changes. Responsible for maintaining the benefit administration portal, ensuring information is up to date. Prepare new hire benefit information packets for employees in their eligibility period as noted by payroll reports. Point of contact for benefit carriers and employee inquiries. Work with Madison's broker and insurance carriers regarding claim discrepancies and outstanding issues. Resolve employee issues with insurance providers and other benefits administrators. Assists with annual open enrollment period during the 4th quarter of each year: arrange benefit information presentations, communicate benefit changes to employees and answer employee questions. Assist in directing and managing the employee benefits program including medical, dental, vision, disability, vision, life, and other supplemental insurance plans. Review and prepare announcement materials, booklets, and other documents for communicating new and existing plans to employees. Verify the calculation of the monthly premium statements for all group insurance policies. Complete 401(k), HSA (Health Savings Account), and FSA (Flexible Spending Accounts) uploads for each payroll. HR Department Support Supports VP Human Resources and Director HRBP (Human Resource Business Partner). Plans, organizes, and supports all activities of the department. Distribute incoming mail and faxes. Process departmental accounts payable for Human Resources, including benefit billing. Maintain electronic copy of detailed legal invoices and process summary invoices. Assist with project work to support Human Resources initiatives as directed by VP-Human Resources. Research and process Human Resources department invoices. Create and edit spreadsheets. Facilitate employee service awards and recognition programs. Assist with project work to support Human Resources Initiatives as directed by Vice President of Human Resources. Answer Human Resources Hotline and respond to emails submitted to HR. Respond to callers or direct calls to appropriate person(s). Distribution of incoming departmental mail and prepare outgoing mail, packages, and faxes. Compose correspondence, copy correspondence or other printed materials. Always maintain absolute confidentiality and respond to outside inquiries in accordance with Company policy and/or approval from Human Resources department management. Order department supplies to include flowers upon request for employee life events. Event planning (meetings, special events, holiday schedule, birthday celebrations, etc.). Qualifications Bachelor's degree (BA or BS) from an accredited four-year college or university required or 3+ years relevant HR experience. 3 years of relevant experience in an administrative assistant role. Minimum three (3) years benefit administration experience. Strong interpersonal skills. Excellent organizational, verbal, and written communications skills. Ability to multi-task and establish priorities. Ability to analyze and solve practical problems. Previous experience and working knowledge of applicable federal/state Human Resources laws and regulations. Solid knowledge of office practices, procedures, and equipment. Ability to interpret instructions in written, oral, or schedule form. Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) required. Paycom HRIS (Human Resource Information Systems) experience highly preferred. Ability to build relationships, able to work collaboratively and work in a team environment, solid conflict resolution skills. Ability to work with sensitive and confidential information. Ability to work with HR team involving sensitive and confidential issues.
